GENERAL DESCRIPTION
Under general supervision of the Manager of Public Relations & Development, the Coordinator of Public Relations & Development will assist with the planning, coordination, tracking, and implementation of donor relations initiatives, events, marketing, resource development, public information and education, customer service, internal communication, and the cultivation of potential givers and private funding opportunities.
ESSENTIAL JOB RESPONSIBILITIES
- Initiates donor engagement initiatives, such as tours, mailings, e-newsletters or small special events, under the direction of the Manager of Public Relations & Development.
- Assists with planning and implementation of marketing for special agency programs and events such as United Way Giving Campaign and community partnered events.
- Maintains and builds online presence through variety of social media platforms (Facebook, Twitter, Instagram, TikTok, etc.).
- Executes public relations and marketing/fundraising goals set forth in the marketing plan using multiple methods, including website content management, media relations, social media management and design of printed promotional items.
- Uses appropriate tools (Wordpress CMS, Photoshop, MS Office, Outlook, Mailchimp, Canva, social media) to promote the agency.
- Collaborates with agency departments in order to support internal agency communication.
- Collects data on marketing and fundraising initiatives and uses data to make decisions to reach marketing and fundraising goals.
- Assists with the recruitment, orientation, training, monitoring and recognition of volunteers.
- Drafts appropriate letters and mailings for donor engagement. Uses provided systems to track donor activity and communication.
- Drafts and/or edits media information such as press releases and other announcements for media dissemination; presents information to the Manager of Public Relations/Development.
- Confers with the Manager of Public Relations & Development and, utilizing a vehicle and phone, gathers and researches information; prepares drafts of internal and external agency materials for public relations, marketing, educational and/or fundraising activities. These duties are performed utilizing Donor Perfect, Word, Excel, Publisher, and other hardware and/or software programs on a personal computer. Duties include but are not limited to: word processing; proofreading, editing letters, memos, documents and reports.
- Organizes, updates, and maintains fundraising records and files including inputting information on current and potential donors and other database maintenance functions.
- Represents the agency at community functions, networking events, business meetings or other activities in order to promote the agency and to provide agency information or assist with agency development responsibilities. Requires use of a vehicle.
- Assumes the responsibility to attend and complete the initial MRI training requirements (core training and job-specific training). On an ongoing basis, attends and participates in any required recertification or refresher sessions and/or other training deemed appropriate by the supervisor and/or the Program/Department Director within specified time frames.
- Participates in agency in-service training sessions as assigned by the supervisor and/or Program/Department Director and/or on a voluntary basis to enhance one's knowledge and skills.
- Utilizing a vehicle, conducts public relations, public education and/or development activities on behalf of the agency.
- Monitors work areas to assure that basic housekeeping and sanitation procedures are performed on a daily basis.
- Communicates, retains, and releases information (both written and verbal) on a need-to-know basis and in accordance with the Mental Health and Developmental Disabilities Confidentiality Act and MRI Policies and Procedures.
- Practices and enforces MRI Safety Policies and Procedures and assures the safety of employees, persons/families served, agency guests, and agency property.
- Keeps supervisor informed verbally and in writing of problems and activities within assigned area of responsibility; refers matters beyond the limit of authority and expertise to the supervisor for direction.
- Performs special projects or other related work within the scope of the job responsibilities of this position as required or requested.
JOB QUALIFICATIONS
- One year of experience in marketing/public relations, clerical, customer service, and/or a retail setting requiring courtesy and diplomacy preferred.
- One year of social media management preferred.
- Must be able to communicate effectively and diplomatically in both oral and written form and be able to meet and work with the public.
- One or more year of experience in writing/editing, public speaking and/or non-profit fundraising, clerical involving data entry, customer service or resource development is preferred. Must be able to demonstrate the following skills:
- Complete tasks using MS Office
- Write, spell, punctuate, and proofread with proficiency.
- Draft and/or edit letters, emails, memos and reports.
- Follow complex oral and written instructions.
- Must have a working knowledge of word processing, desktop publishing, and database operation procedures. Experience with MS Word, Excel, and Publisher preferred.
- Must be able to be self-directed and able to adhere to details while completing assigned tasks in a timely manner.
- Must have or be willing to develop knowledge of programs and services for individuals with developmental disabilities.
- Must be willing to work cooperatively with other employees and individuals served at MRI.
- Must be able to complete MRI training requirements.
- Must be able to maintain payroll, financial, personnel, and information related to persons served as confidential and in accordance with the Mental Health and Developmental Disabilities Confidentiality Act and the Policies and Procedures of MRI.
- Must have reliable transportation to conduct agency business that does not include the transportation of individuals and families served; must maintain a valid Illinois Drivers License and a good Motor Vehicle Record; and must maintain personal auto insurance with minimum coverage of Bodily Injury-Liability per Person of $50,000 and Liability per Accident of $100,000, Property Liability of $100,000, Medical Payments of $5,000, and Uninsured/Underinsured Person of $100,000 and Accident of $300,000.
- Must be able to complete the MRI training requirements.
- Must be able to adhere to the Safety Policies and Procedures of Macon Resources, Inc.
- Must be able to perform the following:
- Lift and carry 30-50 pounds
- Sit and/or stand for prolonged periods of time
- Bend, twist, stoop, or kneel
- Must exhibit manual dexterity
- Vision correctable to 20/20 or sufficient to complete job responsibilities, including color recognition
- Adequate hearing.
- Must be able to work a flexible schedule.
- Must be able to summarize, synthesize and analyze data/information.
Salary : $50,000 - $300,000
