ABOUT THE ROLE
A highly professional and proactive customer-facing role, responsible for ensuring the delivery of exemplary facilities management services to Epic Games, while ensuring compliance and operational efficiency. Serves as the main contact for colleagues and vendors for all local facilities and workplace management issues. Plays a vital part in managing and developing the relationship with end-to-end service users and key stakeholders, to support the operational success of our company.
Maintain customer satisfaction at the highest level providing a high quality and pro-active service, ensuring all concerns are dealt with effectively and communicated accordingly. Contribute to the growth and success of Macro by assisting the management team with business development and operational activities.
Your responsibilities will include:
- Service delivery: Instils an ethos of continuous improvement, keeping service delivery fresh and appropriate by quickly reacting to changes to business requirements.
- Client centricity: Working as a team to ensure the highest standards of service and technical support are delivered. Ensure customer concerns are effectively dealt with.
- Service excellence: Liaising with facilities service providers, including hospitality, maintenance, cleaning and vending to ensure the overall service is quality, timely and seamless.
- Project management: Oversee the delivery of minor works and small project initiatives such as moves and churn, ensuring they are executed efficiently and to the highest standards.
- Supplier management: Work with the Regional Facilities manager and Supply Chain Business partner to manage supplier contracts, ensuring quality services, value for money and innovative service is provided. Undertaking Macro contractual, compliance and technical audits to supplier services.
- Reporting and Compliance: Responsible for service and contract compliance, ensuring all services meet Epic Games requirements and standards. Complete inputs for monthly reports, quality audits of hard and soft services and compliance requests. Prepare, manage and review business continuity plans and actively participate in Epic Games BCP and disaster recovery plans.
- Budget management: Work with the Facilities Manager to manage and control the budget, achieve financial targets and adhere to financial processes. Produce timely and accurate reports.
- Procurement and invoicing: Raise purchase orders and process on Macro’s finance system PROACTIS.
- Support services: Provides cover to main reception, helpdesk, post room or other site services as required.
- Picks up and delivers the mail and coordinates shipping and receiving of boxes and letters to and from the office.
- Space planning: Manages space planning for the office and coordinates the setup for new employees.
- Health, Safety and Quality: Leads workplace health, safety, and environment initiatives for local office. Involved in weekly site audits and monthly Health & Safety inspections, handling escalations.
- Onboarding: Coordinate setups for all new employees and assist with orientation.
The primary location for this role is Bellevue WA, however, travel to the Vancouver B.C. office is required twice a month.
