About the Role
This role will enhance the employee experience by delivering exemplary facilities management services, providing reception coverage, maintaining a visible presence, conducting service audits, and managing vendor relationships. The role includes assisting with service partners, supporting the Site Manager in planning and delivering events, and contributing to operational success by ensuring workflow is delivered effectively and safely.
Main Job Responsibilities will include:
- Act as a visible presence around the building, engaging with employees to enhance the workplace experience and address queries.
- Provide reception service coverage to ensure smooth front-of-house operations.
- Conduct regular service audits and assist with compliance reviews, documenting and addressing issues raised.
- Collaborate with the Facilities Manager to manage supplier contracts, ensuring high-quality, value-for-money services.
- Raise purchase orders, process invoices, and manage budgets.
- Oversee small project works, including moves and churn, while maintaining business continuity.
- Prepare and review business continuity plans, participating actively in disaster recovery plans.
- Support with weekly site audits, monthly Health & Safety inspections, and reporting.
- Assist the Site Manager with planning, organizing, and delivering events.
- Liaise with service providers, including hospitality, maintenance, cleaning, and vending, to ensure seamless service delivery.
- Provide professional customer service, acting as the face of facilities management for employees and clients.
- Resolve client or customer concerns effectively and communicate outcomes appropriately.
- Use downtime productively to perform audits, assist with other facilities teams, and suggest improvements.
- Maintain a proactive, flexible approach to tasks and responsibilities.
About You
This role requires:
- High school diploma or equivalent; additional qualifications in facilities management, events management, or a related field are a plus.
- Experience in a facilities or events-related role, preferably in a corporate environment.
- Strong interpersonal and organisational skills, with a focus on delivering excellent customer service.
- Ability to multitask and prioritise responsibilities in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Power point).
- Ability to maintain attention to detail and manage multiple priorities effectively.
- Proactive, flexible attitude and strong teamwork skills.
- Fluency in English.
Salary is between $60,000 to $70,000 annually.
