This is a lead working position responsible for programmatic support and coordination of golf clubhouse operations work of the Madison Parks’ Golf Program, which includes The Glen Golf Park, Odana Hills, Yahara Hills and Monona Golf Courses. This position works under the general supervision of the Golf Clubhouse Supervisor and will lead a large team of seasonal Assistant Professional, Attendant, and Food and Beverage staff. The work requires exercising considerable judgment and discretion, as this position supports programs by performing and/or coordinating specialized program functions, interpreting and applying programmatic policies and procedures, and performing administrative tasks in support of the programming. The work is characterized by a high level of hospitality and/or golf industry standards.
The successful candidate must possess the ability to manage day-to-day operations, a large staff, and guest relations. The employee will be responsible for overseeing the golf shop; food and beverage and outside services staff; and ensuring a welcoming, enjoyable, clean, proficient, well-managed environment focused on the guest experience. Knowledge of the game of golf and general golf course etiquette, and effective management of tee sheets, events, and day-to-day golf interactions is imperative. The employee must also be comfortable with cash handling, generating reports from the Point of Sale System, and opening and closing the facilities.

Work Hours:
40 hours per week. Start and end times and scheduled work days will vary per season depending on business need.
Start time: 5:00 AM to 1:00 PM
End time: 1:00 PM to 9:00 PM

- Schedule and provide oversight, guidance, coaching, and on-the-job training to seasonal Assistant Professional, Attendant, and Food and Beverage staff.
- Oversee coordination of tee sheets use, food and beverage sales, and equipment rental through TeeSnap reservation and Point of Sale software program.
- Oversee all aspects of customer service and guest experience, with an emphasis on creating a welcoming environment for all.
- Perform regular quality control inspections to ensure standard operating and safety procedures are followed and make adjustments, as needed, to ensure quality customer experiences.
- Coordinate product ordering, including working with product vendors to ensure accurate and timely delivery of products.
- Exercise personal judgment and initiative in resolving conflicts.
- Respond to inquiries, requests, and concerns from golfers and general public related to clubhouse operations.
- Interpret and apply programmatic rules, policies and procedures, including standard golf rules and regulations, along with the Madison Golf Program’s Code of Conduct.
- Coordinate league schedules, conduct outreach, and maintain effective communications with league members and representatives.
- Coordinate all aspects of outings with organizers, including defining parameters of events, scheduling, developing activities, and arranging catering, as required.
- Develop, organize, and oversee Madison Golf Program-sponsored golf events.
- Oversee contract administration of agreements, coordinate, schedule, and maintain effective relationships with partners providing lessons on the courses, including First Tee and Change Golf Instruction.
- Coordinate and implement golf park programming, including, but not limited to, growing and sustaining The Glen Golf Park programming, which consists of movies, performing arts, wellness, cultural, and other similar mixed use recreation events, with event organizers and stakeholders, including Madison Parks Foundation and other community partners.
- Support winter recreation programming, including coordinating rental and concession operations, for golf facilities in the winter months.
- Evaluate existing programming for relevance and opportunities for improved engagement with the entire community.
- Oversee TeeSnap software, including set-up and maintenance of tee sheets, updating rates, and setting schedules.
- Maintain system-wide inventory, including standardizing offerings across the system, developing and maintaining menus, and putting measures in place to minimize loss/spoilage.
- Prepare daily deposits as assigned, exercising judgment in overall cash handling/management under the direction of the Parks Financial Coordinator and Golf Program Supervisor.
- Invoice customers, collect payments, issue appropriate receipts, and prepare refunds pursuant to reservation program policies. Prepare billings/invoices for year-end account close-outs for customers with outstanding balances.
- Prepare and maintain the Petty Cash log by assisting Golf staff with general reimbursements by following established policies and procedures.
- Make recommendations for future improvements for the clubhouse operations and customer experiences.
- Develop training guides and standard operating procedures related to areas of responsibility.
- Review and monitor budget expenditures and distribution of costs to appropriate accounts.
- Gather, organize and report usage data as requested.
- Two (2) years of experience in applying the following:
- Golf clubhouse or similar hospitality operations, which included managing tee sheets, reservations, food and beverage service, and managing overall guest experience.
- Principles, techniques, equipment, tools, and materials commonly used in the golf industry.
- Computer software programs, or similar programs, applicable to the duties of this position.
- Three (3) years of responsible administrative support experience that included significant responsibilities involving complex clerical, administrative, and/or accounting systems and procedures.
