Position Overview
Under general direction, performs complicated clerical work assisting in the administration and probate of estates in the Probate Judge's department. Work involves probate recording and assisting in filing petitions to the court. Work is performed independently; however, the employee must abide by the office procedures and policies established in the department. Reports to the department superiors and work is evaluated through review and observation.
Essential Duties and Responsibilities
(All duties listed may not be included in any one position, nor does the list include all tasks found in a position of this class.)
- Records all probate proceedings, petitions, wills, consents, orders, and letters.
- Places each document in numerical and date order.
- Prepares the documents for microfilming and verifies the microfilm copies.
- Later pages the copies in the docket book and files them in proper order.
- Explains department procedures and policies to the general public and answers complaints.
- Prepares certified copies of probate records when requested.
- Examines Notary Public applications and bonds.
- Issues the notary commissions, indexes and collects notary fees.
- Assists in filing petitions for the court.
- Prepares cases for trial by scheduling on the court dockets, compiling the necessary material, and notifying the interested parties of the scheduled trial.
- Files, receives, and enters claims against estates.
- Type up transcripts of cases that are transferred to the Circuit Court.
- Performs related duties as requested.
Education and Experience
Education and Experience
- Any combination of education and experience equivalent to Graduation from a standard high school, including or supplemented by courses in business practice; experience in an office or related clerical work is required.
- Working knowledge of the State of Alabama Probate laws.
- Considerable knowledge of modern office practices and procedures and of business English and commercial arithmetic
- Considerable knowledge of the policies and procedures of the work of the department to which assigned.
- Ability to operate common office appliances, including computers.
- Ability to keep complex clerical records.
- Ability to establish and maintain effective working relationships with other employees and the general public.
Other Requirements
Physical Requirements.
- Must be able to remain in a stationary position for extended periods of time.
- Must be able to communicate effectively.
- Needs to be able to operate office product machinery, such as a calculator, copy machine, and computer printer.
- The person in this position needs to move about inside the office to access the file cabinet, office machinery, etc.
- 8:00 a.m. - 5:00 p.m.
- Monday - Friday
