What are the responsibilities and job description for the Deputy Clerk/ Bailiff position at Madison County Juvenile Court?
PURPOSE OF POSITION Deputy Clerk/Bailiff will provide administrative and clerical support to the Court, oversee the courtroom, and process case flow. This is an unclassified position.
ESSENTIAL DUTIES AND RESPONSIBILITIES The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Open and reactivate all case file types including, but not limited to juvenile delinquency/unruly, dependency, traffic, adult custody, and adult contributing
- Schedule hearings, send summons and/or notice of hearings
- Issue capiases, warrants to convey, bench warrants, and recognizance bonds * Receive and docket pleadings * Prepare journal entries
- Keep accurate records of daily cash balances and online payments, maintain cost screens/calendars, monitor payment of Court costs, and process payments
- File pleadings in casefiles, make certified copies of documents, prepare copies of files for Court appointed attorneys
- Assist the public in a respectful, informative way without providing legal advice by answering questions regarding their cases via telephone or in person, complying with requests for copies of documents or Court forms, administering the oath for complaints, or referring the public to the law library for legal representation information
- Manage, maintain, prepare, copy, and distribute all hearing schedules and calendars.
- Pull files for Judge and/or Magistrate for the upcoming week
- Prepare the courtroom for hearings by setting up and monitoring court recording systems as well as projector equipment
- Bailiff hearings, docket proceedings to cases, and schedule next hearing dates from the courtroom
- Receive, open, and process mail on a daily basis
- Perform other essential duties as required and/or instructed MARGINAL DUTIES AND
RESPONSIBILITIES
- Balance and maintain state reporting figures to the Ohio Supreme Court and/or the Ohio Bureau of Motor Vehicles
- Make arrangement with the county jail for transport of adults and juveniles to Court
MINIMAL TRAINING & EXPERIENCE REQUIRED TO PERFORM ESSENTIAL JOB DUTIES High school graduate with preferred one to two years of experience or any equivalent combination of training and experience which provides equivalent skills, knowledge, and abilities. CRITICAL SKILLS * Knowledge of the rules of grammar, punctuation, diction, and style * Knowledge of Microsoft Office Suite * Knowledge of how to operate a personal computer * Knowledge of legal terminology * Knowledge of the Juvenile Justice System and the Ohio Revised Code * Ability to comprehend and recall a variety of informational documents, financial reports, court orders, records, etc… * Ability to record and deliver information accurately, explain procedures and follow both written and oral instructions * Ability to handle stressful situations in a fast-paced environment by analyzing and problem solving * Ability to manage time effectively and prioritize work * Ability to maintain confidentiality and a professional demeanor * Ability to adapt to changes in procedure, new tasks, and new responsibilities * Ability to type at least 40 words per minute PHYSICAL REQUIREMENTS * Requires the physical ability to operate a variety of office machines which include, but are not limited to personal computers and related software, telephone (both landline and cell phone), projector, time stamp, audio recorder system, photocopier/facsimile, typewriters, shredder, and printer * Work involves walking, standing, lifting, and carrying a minimum of 20 lbs * Ability to add, subtract, multiply and divide totals to determine percentages and decimals * Requires the ability to perform in an office environment.
