Work Unit Overview: The Legal Assistant works under the supervision of the County Attorney and must maintain an open and customer service-oriented environment, cooperate with other county departments and governmental entities, and keep accurate and timely records.
Job Summary: The Legal Assistant provides administrative support for the County Attorney’s Office.
Essential Functions
Major Duties or Responsibilities: These duties are the essential functions and are not all inclusive of all duties that the incumbent performs.
- Provide assistance to attorneys in a wide variety of legal matters by preparing documents and exhibits, maintaining files, and preparing trial materials.
- Organize case documents to ensure they are readily available and easily accessible to attorneys.
- Disseminate discovery.
- Answer and respond to telephone calls and emails.
- Calendar appointments, hearings, trials, and monitor calendar deadlines.
- Properly file court documents.
- Coordinate conference calls and other appointments.
- Prepare and submit accounting, expense documents, bills, or other records.
- Organize and update law library.
- Process incoming and outgoing mail.
- Maintain and troubleshoot computer systems by diagnosing and resolving routine computer equipment and software problems, make minor repairs to copiers and other equipment, and refer problems to other county staff or contractors when needed.
- Perform other duties as assigned.
Education and Experience
Graduation from high school/GED, three (3) years’ experience working in a law office performing legal assistant duties and responsibilities under the supervision of a licensed attorney or equivalent of related experience or skills.
The job requires freedom from illegal use of drugs and freedom from use and effects of drugs and alcohol in the workplace.
Must pass a background check.
Knowledge, Skills, and Abilities
This position requires knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. This position requires communication skills, including written, orally, and active listening. This also involves the ability to communicate to a wide range of individuals.
An incumbent in this position may have frequent contacts with individuals who are in all stages of legal proceedings, and may encounter situations in which an individual is upset, abusive, and potentially violent, requiring an understanding of one’s environment. Legal Assistants need to understand legal terminology.
