Overview

The AVP, Data Governance - Record Retention will be responsible for leading the governance and oversight of the Record Retention program within the organization. This role involves overseeing the planning, development, and implementation of various record retention activities, ensuring regulatory compliance, and managing associated projects such as content management, taxonomy, and training. The position requires close collaboration with various departments to ensure the Record Retention program is maintained and improved across the organization. The AVP will be responsible for safeguarding legal hold data, managing record retention systems, and driving continuous process improvements while ensuring compliance with established policies.

Key Responsibilities

Strategic Leadership

  • Lead the strategic direction for the planning, development, and execution of initiatives supporting the Record Retention program.
  • Ensure the program evolves to meet the organization’s compliance needs and regulatory requirements while supporting overall business objectives.
  • Develop and oversee processes related to data management, archiving, and the secure destruction of records in alignment with retention policies.

Governance & Compliance

  • Oversee and monitor compliance with the organization’s Record Retention policies and practices.
  • Conduct annual reviews of the Record Retention Schedule with internal stakeholders to ensure accuracy and alignment with legal and regulatory standards.
  • Ensure departments comply with Record Retention policies, procedures, and best practices.
  • Manage periodic re-certifications with business units to ensure proper records retention and destruction in line with established guidelines.

Training & Development

  • Lead the execution of Record Retention training across the organization, ensuring employees understand and adhere to Record Retention policies and procedures.
  • Advocate for the inclusion of Record Retention best practices across all business operations.
  • Support continuous learning and development by promoting the importance of effective record management throughout the organization.

Collaboration & Communication

  • Act as the main point of contact for Record Retention matters across departments, ensuring smooth communication and collaboration.
  • Manage the design and structure of SharePoint sites and document management systems to ensure efficient record storage and retrieval.
  • Develop and enforce governance policies for SharePoint and other document management tools to regulate user interaction across the organization.

Technology & Process Improvement

  • Collaborate with relevant teams to maintain and improve the organization’s record inventory systems, ensuring they align with retention policies and regulatory requirements.
  • Evaluate and implement records management solutions and technologies to enhance retention processes.
  • Oversee SharePoint and other document management systems to ensure efficient records management and compliance with retention policies.

Project & Change Management

  • Lead key projects related to record retention, from strategy development to implementation, ensuring projects meet organizational objectives.
  • Manage improvements to SharePoint and other content management tools to enhance record retention workflows.
  • Lead cross-functional teams in identifying opportunities for process improvements related to record retention and ensure timely resolution of issues.

Salary : $100,000 - $130,000
