TITLE: Administrative Assistant IV - Preschool
QUALIFICATIONS:
1. High school diploma or equivalent required.
2. Proficiency in operating standard office equipment and machines.
3. Ability to create and use filing systems and office organization.
4. Strong interpersonal skills and the ability to engage positively with students, staff and the public.
JOB GOAL:
Under the direction of Community Education, performs a variety of clerical and support work. This role involves enrolling preschool students in District programs, including students with IEPs, and facilitating communication with the public, staff, students, and parents. Additional related duties may be assigned as needed.
RESPONSIBILITIES:
Responsibilities shall include, but not be limited to, the following:
1. Greet the public and answer phone inquiries in a professional manner.
2. Provide secretarial support to Community Education and Student Services staff.
3. Operate office equipment including computers (Google Suite), telephone, copy machine, and printer.
4. Track special education paperwork for student enrollment, ensuring accuracy and compliance.
5. Maintain accurate records for students with IEPs in the student information system.
6. Compile and prepare appropriate attendance and accounting information.
7. Oversee student registration processes, including enrollment, withdrawals, and distribution of school records when appropriate.
8. Maintain and update class lists and student registers.
9. Handle confidential information in accordance with privacy protocols.
10. Draft and prepare a variety of communication materials including letters, memos, bulletins, handbooks, and questionnaires.
11. Safely operate office equipment and adhere to safety guidelines as outlined in MSDS.
12. Performs additional duties as assigned by the Community Education and Student Services Directors.
LENGTH OF WORK/GRADE ON SALARY SCHEDULE:
9 MONTH POSITION/.5 FTE
Grade B $16.20-$20.05 (DOE)

Performance will be evaluated by the Director of Community Education

Supervised by the Director of Community Education
