TITLE:   COMMUNITY EDUCATION ADMINISTRATIVE ASSISTANT II

 

QUALIFICATIONS:

  1. Evidence of being a lifelong learner.
  2. Self-starter with ability to prioritize.
  3. High school diploma, or equivalent, college preferred.
  4. Command of business English and able to write using correct grammar, spelling and punctuation.
  5. Able to operate standard office equipment and machines including, but not limited, to the following: computer, printer, scanner, telephone, fax machine, copier, duplicator and calculator.
  6. Possess computer experience; Excel, Google and Microsoft Word preferred.
  7. Knowledge of office procedures, basic record and bookkeeping, desktop publishing, Excel spreadsheet, Canva, and purchasing procedures.
  8. Follow directions.
  9. Ability to communicate (verbally and in writing) with others in a clear and concise manner.
  10. Ability to organize work, work independently and accurately.
  11. Ability to relate to students, staff and public in a positive manner.
  12. Maintain confidentiality of records, correspondence and conferences.

 

JOB GOAL:

To maintain and grow effective and efficient operation of the Madison School District’s Community Education program.

 

PERFORMANCE RESPONSIBILITIES:

Responsibilities shall include, but not be limited to, the following:

  1. Acts as the assistant to the Director of Community Education.
  2. Answer telephones, takes messages, set appointments, and assists visitors in a responsible manner.
  3. Provide parents and potential parents with information regarding Community Education program.
  4. Assist parents with program changes and signatures on Community Education contracts.
  5. Keep Community Education materials copied, assembled and stocked in reception area.
  6. Type and file as assigned.
  7. Create and coordinate schedule for Social Media postings on the Community Education pages.
  8. Approve and support District volunteers through the RAPTOR system.
  9. Fingerprint volunteer applicants.
  10. Cover for District Office receptionist when he/she is out.
  11. Maintain the reception area in an orderly fashion.
  12. Use equipment including, but not limited to, the following: computer, telephone, scanner, copy machine, fax, typewriter and printer.           
  13. Data entry into EZChildTrack system.
  14. Understand and apply safety-related precautions as outlined in SDS (safety data sheets).
  15. Stay informed and follows Community Education calendar and assignments.
  16. Determine Community Education Department needs and follows through until completion.
  17. Maintain confidentiality of all matters.
  18. Contribute to the team by accomplishing additional duties as assigned.

 

LANGUAGE SKILLS:

Ability to read and interpret documents in English as well as the ability to write routine correspondence in English. Ability to speak effectively in English before groups of customer or employees. Spanish preferred.

 

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of situations / issues. Ability to interpret a variety of instructions furnished in written and verbal form.

 

EVALUATION:

Performance evaluated by the Director of Community Education.

 

SUPERVISION:

Supervised by the Director of Community Education.
