Job Summary:
We are seeking a friendly, professional, and highly organized Receptionist to provide front-line reception duties and support to both the President and Vice President of Maestri D’Italia. This role will involve greeting visitors, answering calls, managing office logistics, and assisting the executive team with their personal and professional tasks. The ideal candidate will be proactive, discreet, and possess excellent communication and organizational skills. This is a full-time, onsite position based in our Vineland, NJ facility.
Key Responsibilities:

Reception & Front Desk Management:
- Greet visitors and guests with a warm, professional demeanor.
- Answer and direct phone calls in a courteous and timely manner.
- Maintain a clean and organized reception area.
- Ensure visitors are signed in and escorted to the appropriate department.
- Manage office access, ensuring security protocols are followed.
- Personal Assistant Support to President & Vice President:
- Arrange travel bookings (flights, hotels, transportation), including itineraries, for the executives.
- Handle personal tasks such as scheduling appointments, making reservations, and assisting with errands as needed.
- Assist in preparing documents, presentations, and reports for meetings.
- Maintain confidentiality regarding sensitive information related to executives’ schedules and personal matters.

Administrative Support:
- Assist in preparing and distributing office-related documents, mail, and packages.
- Coordinate and schedule appointments, meetings, and conference room bookings.
- Provide general administrative support, including filing, data entry, and document organization.
- Assist departments with clerical duties as needed.

Communication:
- Serve as a point of contact for inquiries regarding company information, office policies, and services.
- Direct calls or concerns to the appropriate departments or individuals.
- Communicate effectively with employees, visitors, and clients, ensuring a high level of service.
- Ensure the office is properly maintained, perform inspections, and relay any concerns to the cleaning company.

Office Coordination:
- Help maintain office supplies and ensure inventory is stocked.
- Support event coordination and assist in organizing company meetings and gatherings.
- Maintain and update employee records and office databases as required.
- Assist with ordering office materials and coordinating office-related services.
- Coordinate office cleaning, conduct regular inspections, and promptly address any issues with the cleaning company.

Customer Service:
- Provide exceptional customer service, handling inquiries or complaints with professionalism and care.
- Respond to customer inquiries, providing information about products and services.
- Ensure customer satisfaction by addressing questions or redirecting the appropriate team member.

Skills and Qualifications:
- Education: High school diploma or equivalent; associate's degree or higher preferred.
- Experience: Previous receptionist, customer service, or administrative experience preferred.
