Job Description:
We are seeking a Client Onboarding Manager to join our Family Office team. This individual will play a strategic role in overseeing the onboarding process for new client relationships, ensuring a seamless transition while maintaining accuracy and efficiency. The Client Onboarding Manager will lead onboarding initiatives, troubleshoot challenges, and enhance processes to support the firm’s growth.
The ideal candidate possesses strong leadership skills, deep accounting knowledge, and the ability to leverage technology for financial analysis and reporting. This role requires a proactive problem solver with exceptional attention to detail and strong communication skills to effectively liaise with internal teams and external clients.
Responsibilities:
Lead and manage the end-to-end onboarding process for new client relationships, ensuring smooth integration into the firm’s systems and workflows.
Supervise and mentor the Client Onboarding Associates, providing guidance, training, and professional development.
Serve as the primary point of contact for onboarding projects, collaborating with internal stakeholders and external partners to drive efficiency and maintain adherence to timelines.
Develop and enhance onboarding procedures, continuously identifying opportunities for process improvements and automation.
Resolve complex operational challenges, investigating root causes and implementing sustainable solutions.
Oversee asset tracking setup, ensuring accurate recording of real property, collectibles, investments, and other assets through journal entries and reconciliation processes.
Ensure compliance with internal controls and regulatory requirements throughout the onboarding process.
Collaborate with senior leadership to align onboarding strategies with business objectives and growth initiatives.
Maintain high standards of data integrity and accuracy in client records and financial reporting.
Manage and respond to ad-hoc requests efficiently while balancing multiple priorities.
Skills and Qualifications:
Bachelor’s degree in accounting, finance, business, or a related field required; CPA or equivalent certification preferred.
7 years of experience in client onboarding, accounting, or financial services, with at least 2 years in a leadership or managerial role.
Strong team leadership and coaching skills with the ability to motivate and develop talent.
Expertise in financial reconciliation and accounting principles, with experience working with high-net-worth individuals or family offices preferred.
Deep understanding of asset classes, including brokerage accounts, alternative investments (private equity, hedge funds, etc.).
Familiarity with estate documents (wills, POAs, trusts, etc.).
Highly proficient in Microsoft Office Suite (Excel, SharePoint, OneNote, Teams).
Strong working knowledge of QuickBooks Online, Salesforce, Bill.com, and/or Sage; experience with Kantata preferred.
Exceptional problem-solving skills, with the ability to anticipate challenges and drive solutions proactively.
Strong written and verbal communication skills, with a focus on client service and relationship management.
