A leading risk management services firm is seeking an Operations Specialist to support executive protection and logistics operations in a high-paced environment. This role is ideal for professionals with strong coordination, problem-solving, and communication skills who can efficiently manage logistics and operational functions for high-profile clients.
Position Overview
The Operations Specialist will be responsible for overseeing scheduling, coordinating executive protection and ground transportation logistics, and supporting operational processes. This role requires a high level of organization, attention to detail, and the ability to manage multiple priorities effectively.
Shift: 11:00 PM – 7:00 AM (Overnight)
Location: On-site in Boca Raton, FL
Key Responsibilities
- Coordinate and manage scheduling for ground transportation and executive protection services.
- Communicate with security personnel, transportation providers, and clients to ensure seamless operations.
- Oversee reservations, including booking hotels, rental vehicles, and flights for assigned personnel.
- Prepare and distribute operational briefings, dispatch confirmations, and reports to internal teams and clients.
- Monitor ongoing assignments and adjust logistics based on real-time conditions and client needs.
- Assist in developing security operation plans, event summaries, and risk assessments.
- Act as a liaison between internal teams, vendors, and external stakeholders, ensuring smooth execution of services.
- Address service-related concerns, resolve issues, and provide solutions to maintain client satisfaction.
- Participate in operational meetings and contribute insights to improve efficiency and service quality.
Qualifications & Experience
- High school diploma required; associate or bachelor’s degree preferred.
- 3-5 years of experience in operations, logistics, or a similar field.
- Experience with dispatching and coordinating executive transportation is a plus.
- Strong organizational and multitasking skills in a fast-paced environment.
- Excellent communication and problem-solving abilities.
- Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word).
- Multi-lingual skills are a plus.
Work Environment & Physical Requirements
- Professional office setting with standard office equipment use.
- Occasionally requires lifting up to 25 pounds.
- Requires strong attention to detail, coordination, and the ability to handle sensitive information.
