Magic Cabinet ("MC") is a philanthropic foundation that seeks to fundamentally redefine how philanthropy and nonprofits partner for sustainable and thriving communities. We’re looking for an Events Manager to oversee the production and implementation of Foundation events, both in-person and virtual, that further the Foundation's mission and goals. Reporting to Magic Cabinet’s Director of Operations, the Events Manager collaborates with the foundation team to transform strategy and systems into amplified impact.

Your role as Events Manager
The Events Manager will oversee the production and implementation of all internal and external Magic Cabinet events to further the Foundation's mission and goals. Events may be either in-person or virtual, or in some cases a hybrid of both; . These events include but are not limited to: Cohort events, community building events, partner meetings, staff retreats, staff convenings, and Foundation hosted conferences. This position reports to the Director of Operations - People & Culture and requires extensive and regular collaboration with staff, grantee organizations, community members, and occasional board member engagement.
Events Manager responsibilities include:
Event Production and Management
- Produce high-quality and impactful gatherings that advance the Foundation’s mission, working with teams across the Foundation from conceptualization to execution to evaluation.
- Prioritize best practices to ensure that events are accessible.
- Identify and use suitable online event platforms and accessibility tools to ensure inclusivity for in-person, virtual or hybrid events.
- Manage all event logistics, including registration processes, internal and external event communications, relationships with event vendors (venue, catering, AV, transportation, etc.), and contracts with speakers and performers.
- Direct pre-event, event, and post-event workflow processes to ensure staff and contractors are clear on their roles and responsibilities.
Event Administration
- Support teams in identifying and articulating event goals, priorities and vision.
- Support the development of the annual budget for events and convenings.
- Work with team leads to develop event budgets and partner on financial monitoring and reporting.
- Provide expertise to staff in the planning and execution of events, as needed.
- Build a library/database of event planning resources for Foundation staff.
- Maintain an events calendar (including internal and relevant external events) to ensure clear communication and awareness for internal staff and/or external participants.
- Develop and maintain a network of event vendors and contractors throughout the Greater Puget Sound Region and Greater Bay Area that prioritizes the communities we work with.
- Work with team leads to develop event evaluation criteria and report on results.
- Make recommendations for future events.
- Use cloud-based software to share status updates and track progress on events.
Collaboration
- Collaborate with organizational leaders and staff to develop organizational event goals, practices, and systems that ensure events and gatherings are successful and within budget.
- Connect with internal teams to collaborate on event-related work within the organization.
- Problem-solve, work under pressure and collaboratively participate in decision-making.
- Create, manage, and update shared documents, reports, and analysis tools and regularly review internal files.
- Collaborate with outside vendors and partners.
- Manage event timelines and communicate effectively on deadlines.
- Navigate emergent and new event projects with strong communication and diplomacy.
Miscellaneous
- Participate in staff meetings.
- Perform other duties as assigned.
- Collaboratively explore new opportunities that may arise with the evolving needs and aspirations of the Foundation.
You are well qualified if you have/are:
- 5 years of professional work experience in an events production role, including in person, hybrid and virtual events;
- Demonstrated experience collaborating across multiple departments/teams, ideally within a multicultural organization or company, to develop and execute a shared vision for an event or gathering (this includes experience setting expectations and deliverables with people in senior level roles);
- Experience or familiarity working with leaders to create new events, with the ability to drive vision and create clarity for the team;
- Excellent written and oral communication with a high degree of emotional intelligence;
- Experience coordinating language interpretation and translation, captioning, and other ways to ensure access for people with disabilities and/or require language interpretation;
- Experience maintaining a knowledge base and training staff on the use of tools and technology that support accessible, relational, virtual, and in-person gatherings and events;
- Proficiency with Google Workspace (Gmail, Docs, Sheets, etc.) and cloud-based software, and the ability to adapt to new technologies;
- Highly organized with a keen attention to detail and process;
- Strong project management skills;
- Experience working independently and with minimal oversight;
- Comfortable with both very detail-oriented independent work and interfacing directly with external stakeholders;
- Goal-oriented with a deep respect for incremental analysis and refinement;
- Experience working with culturally, economically, and racially diverse groups;
- Strong communicator;
