The opportunity
As a Manager, Executive Administration within our Executive Assistant group, you will oversee a team of executive assistants supporting our C-level leadership. In this role, you'll not only manage and develop the EA team but also provide direct, high-level support to a senior executive. Reporting to the Chief of Staff, you'll play a pivotal role in ensuring seamless executive operations. This is a unique opportunity to shape the way our executive team functions, mentor a talented group of EAs, and make a meaningful impact on our organization's success at the highest level.
Location/Time Zone: This is a remote position; however, the selected candidate must be based in Pacific or Mountain Time Zones or be willing to work Pacific Time hours, ideally starting at 9:00 AM PT.
What you’ll do
- Lead and Develop the EA Team – Mentor and guide a team of executive assistants, fostering their professional growth and ensuring they provide exceptional support to leadership.
- Optimize Administrative Operations – Build and maintain a seamless, high-performing administrative support system that enhances efficiency and effectiveness.
- Ensure Executive Support Excellence – Oversee the team's execution of complex scheduling, travel coordination, meeting preparation, and confidential administrative tasks.
- Drive Process Improvement – Identify opportunities to enhance workflows, streamline communication, and implement best practices across the EA function.
- Facilitate Collaboration – Promote teamwork and knowledge sharing among EAs, ensuring alignment and consistency in supporting the executive team.
- Maintain High Standards – Establish and enforce professional expectations to ensure accountability, operational integrity, and top-tier administrative support.
The experience you bring
- 5 years of professional experience supporting senior executives, with at least 3 years in a managerial or leadership role overseeing executive assistants.
- Bachelor’s degree in Business Administration, Management, Communications, Human Resources, or a related field
- Proven experience as both an Executive Assistant and a people manager, with a deep understanding of supporting senior executives.
- Skilled in mentoring and developing team members through regular feedback and career planning.
- Strong organizational abilities, including managing schedules, time off, and timesheet approvals.
- Expertise in managing executive support functions such as complex scheduling, travel, meeting prep, and confidential matters.
- Experience in planning and executing executive off-sites, company events, and board meetings.
- Excellent communication, leadership, and problem-solving skills, with a track record of driving operational excellence and collaboration.
It’s exciting if you also have
- Experience with executive event planning, board meeting coordination, and high-level logistics management.
- Experience with process improvement tools or systems (e.g., task management software, executive support tools).
- Certification in Project Management (PMP) or Operations Management.
Additional Requirements
- Travel Requirements: The selected candidate will be required to travel to our headquarters in Plantation, Florida for approximately one week every six weeks.
