Title: Finance Clerk
This role exists to support and implement the Mission of Magnificat High School. The Finance Clerk will perform
administrative tasks, bookkeeping and entry level accounting functions in support of the Finance and Human
Resource Departments.
Reports to: Senior Director of Finance
Classification: Non-Exempt, Full Time, 40 hours per week
Major Responsibilities
- Serve as a Finance Department administrative liaison to all other departments in the school.
- Provide general administrative and clerical support for department operations.
- Perform general bookkeeping responsibilities including (but not limited to):
- Maintain vendor relationships; respond to internal and external inquiries regarding accounts payable
- Maintain subsidiary ledgers of assigned accounts.
- Perform monthly account reconciliations.
- Enter for approval routine journal entries.
- Manage petty cash needs.
- Assist in audit preparation.
- Serve as a school administrator for the organization’s facilities’ work order software.
- Maintain work orders for the department.
- Performs other duties as requested by the Senior Director of Finance, Vice President of
Operations or delegated individual.

- Provide superior customer service to internal and external stakeholders.
- Respond appropriately and promptly to communication from parents, students, administrators,
and colleagues.
Working Conditions and Physical Demands
- Normal office environment.
- Frequent walking, sitting, talking, standing, listening/hearing.
- Reading, writing, grasping and finger dexterity are needed to manage correspondence, faxing, copying,
- Tasks require visual perception and discernment.
- Frequent use of computers and telephone.
Finance Clerk

- Occasionally it is necessary to bend at the waist or knee and to reach up for files and retrieve items on
- Able to occasionally lift/carry heavy objects, up to approximately 30 pounds.
- Ability to work extended days, evenings, and weekends periodically, as needed.
Requirements:
- High school diploma or demonstrated equivalent required.
- Associate’s degree in accounting or business administration preferred.
Knowledge and Experience:
- Minimum of 2 years of administrative assistant experience or bookkeeping experience, preferably in
- Proficiency in Microsoft applications including Word, Excel and Google mail and Google Drive.
- Meaningful experience with office administration functions and responsibilities.
- Experience with Financial Edge or other financial accounting software preferred.
- Experience with ML Schedule or similar space management software preferred but not required.
Skills and Competencies:
- Must have competent oral, written and interpersonal communication skills.

- Must be detailed oriented and conscientious.
- Customer service oriented; ability to go above and beyond in any situation.
- Ability to manage multiple complex tasks simultaneously.
