Job Overview
We are seeking a professional and experienced Home Health Lead Administrator to join our fast-growing, amazing team! The Lead Administrator will oversee various administrative tasks related to clients and caregivers, including managing caregiver schedules, conducting in-home client consultations, handling paperwork, and organizing company files. This role requires independent work and the ability to engage directly with potential clients. Experience with the VA process is a plus.
Key Responsibilities
✅ CRM & Scheduling Management
- Manage and update our CRM system for tracking client and caregiver schedules.
- Schedule caregivers through CRM, including finding coverage, tracking time-off requests, and ensuring all clients have proper coverage.
- Train caregivers on using the CRM system app for clocking in and out.
✅ Client & Caregiver Coordination
- Maintain and update client records in the CRM system, including uploading contracts and care plans.
- Conduct in-home consultations with potential clients to assess their needs and recommend appropriate services.
- Complete intake documentation for new clients, including preparing and sending contracts.
- Assemble care packets, including care plans and essential documents for clients.
✅ Administrative & Compliance Support
- Ensure compliance with ACHA and maintain records in WELLSKY.
- Utilize QuickBooks for administrative and financial tasks.
- Operate multiple online platforms such as really, Adobe Acrobat, DocuSign, and Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- Handle general administrative tasks, including filing, typing, organizing, scanning, and data management.
Qualifications & Requirements
Education & Experience
- High School diploma or equivalent (Required)
- Associate or Bachelor's Degree (Preferred) or equivalent experience.
- 3 years of experience in an office setting (e.g., receptionist, administrative assistant, intake specialist).
- Experience in a medical setting such as a doctor’s office or assisted living facility (Required).
Skills & Competencies
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills (Fluency in English required).
- Ability to conduct in-home consultations with potential clients.
- Understanding of VA processes is a plus.
