Position Summary
The Assistant Property Manager assists the property manager in effectively managing the assigned communities. In the property manager’s absence, the Assistant Property Manager will assume all responsibilities associated with accomplishing community objectives as set forth by the property manager and corporate leadership. In addition, the Assistant Property Manager is directly responsible for maintaining daily, weekly, and monthly reports including accurate reporting of rents and deposits received. This position will be assigned to our "Midtown Highline" property, located in the Highland neighborhood of Austin, Tx, within close proximity of the North Loop and Central Austin.
Essential Duties and Responsibilities
Leasing/Marketing
- This beautiful property will be home to (162 units in total).
- Greets and qualifies prospects utilizing Magnolia’s criteria and related tools (qualification questions, guest cards, etc).
- Maintains reports for all telephone and in-person visits from prospective tenants.
- Applies product knowledge of the community and apartment features/benefits to attract and close qualified tenants for the property.
- Secures application and deposits in accordance with company procedures and Fair Housing requirements.
- Processes applications for approval utilizing Magnolia’s standard processes and in compliance with Fair Housing requirements (to include credit check, rental history, internal application approval process, ongoing communication with applicant and updating of availability report and other steps as defined).
- Ensures apartment is ready for tenant to move in on agreed upon date.
- Follows up with open prospects to attempt to close or refer to sister properties if better fit exists internally.
- Collects and processes new resident paperwork; provide orientation to the community.
- Distributes and follows-up on renewal notices.
- Advises residents of referral concessions when applicable.
- Completes marketing tasks as provided by Brand Manager.
- Updates online advertising to reflect current market pricing on a weekly basis.
- Represents the company in a professional manner at all times.
Administrative
- Utilizes company software to record and analyze information.
- Accepts and records rental payments and process related deposits within 24-48 hours.
- Complies with federal, state and company policies, procedures and regulations.
- Enforces community policies.
- Updates and submits lease commissions and locator information per company policy by specified deadlines.
- Maintains open communication with Property Manager regarding application and new resident paperwork, marketing and office materials needs, and property relations.
- Updates and submits the Daily Activity Report (DAR) daily.
- Checks and responds to resident communications via Active Building portal on a daily basis.
- Ensures all maintenance repairs and handled satisfactorily by contacting residents with completed service requests on a weekly basis.
- Completes incident reports when needed and escalate to Property Manager.
- Makes positive contributions to the property to ensure cleanliness and curb appeal of the community on a continuous basis.

- Experience with Entrata Property Management Software would be helpful.
- Assists in placing, updating and removing banners, balloons, bandit signs, flags, etc.
- Assists in conducting market surveys and shop competitive communities.
- Performs all other duties as required and assigned.
Qualifications
- Two years of experience in property management.
- Strong customer service skills.
- High level of organization and attention to detail.
- Competence with office management software.
- Familiar with applicable local, state, and federal laws and regulations.
Education/Certification
§ Bachelor’s degree is preferred or equivalent vocational/technical training.
Supervisory Responsibility
This position does not have direct supervisory responsibilities.
Expected Hours of Work
Hours for this position will be Monday Thru Friday! - Work Life Balance. Physical presence at Magnolia properties is required to perform the duties of this position.
