Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing excellent customer service and administrative support within our office environment. The ideal candidate will possess strong communication skills, a keen attention to detail, and a solid understanding of health information management practices.
Duties
- Greet and assist visitors in a friendly and professional manner.
- Manage incoming phone calls, ensuring effective phone etiquette and directing calls as necessary.
- Maintain patient records in compliance with HIPAA regulations and ensure confidentiality of sensitive information.
- Utilize Dentrix software for scheduling appointments, managing patient information, and processing billing inquiries.
- Perform administrative tasks including filing, data entry, and maintaining office supplies.
- Assist with the management of health information documentation using ICD-10 coding standards.
- Support the office team with various tasks as needed to ensure smooth operations.
Skills
- Proficient in health information management practices, including knowledge of ICD-10 coding.
- Strong understanding of HIPAA regulations to maintain patient confidentiality.
- Experience with Dentrix or similar dental/healthcare software is preferred.
- Excellent phone etiquette and interpersonal skills for effective communication with patients and staff.
- Ability to perform 10 key typing accurately for data entry tasks.
- Previous experience in a hospital or office environment is advantageous.
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
Qualifications & Preferred Experience

- Dental Office Experience: Previous experience working in a dental office or other medical office setting (preferred). Familiarity with dental terminology and procedures will be a big plus.
- Dentrix Software Proficiency: Hands-on experience with Dentrix practice management software is highly preferred. Candidates who can navigate Dentrix for scheduling, charting, and billing will stand out.
- Strong Organizational Skills: Excellent attention to detail with the ability to juggle appointments, phone calls, and paperwork in a busy environment.
- Communication Skills: Clear, professional communicator in person, on the phone, and via email. You listen well and can convey information to patients and team members with warmth and clarity.
- Customer Service Mindset: Friendly, compassionate, and patient-focused. You enjoy helping people and can remain calm and courteous even when the schedule gets hectic.
- Team-Oriented Attitude: A collaborative spirit and willingness to assist coworkers whenever needed. We have a tight-knit team, so being a reliable team player is essential.
- Dependability and Initiative: Punctual, reliable, and able to work independently on administrative tasks. You take initiative to solve small problems before they become big ones.
