Job Summary:
The Bookkeeper is responsible for maintaining accurate financial records for the Practice, including managing accounts payable and receivable, payroll, insurance claims, and overall financial reporting. The position requires attention to detail, excellent organizational skills, and familiarity with medical billing procedures.
Key Responsibilities:
- Accounts Receivable & Payable:
- Process patient billing and ensure payments are collected in a timely manner.
- Record and track insurance payments and patient co-pays.
- Handle vendor bills and ensure timely payment of office expenses.
- Payroll:
- Process payroll for all staff members, ensuring accuracy and timely payment.
- Track employee leave, overtime, and benefits.
- Medical Billing:
- Submit insurance claims for patient visits and follow up on denied claims.
- Ensure billing codes are accurate and compliant with industry standards.
- Communicate with insurance companies and patients regarding billing issues.
- Financial Reporting:
- Maintain ledgers and generate monthly financial reports (income statements, balance sheets, etc.).
- Reconcile bank statements and financial discrepancies.
- Assist with budgeting and financial planning for the office.
- General Office Support:
- Maintain patient financial records in accordance with privacy laws and office policies.
- Assist with audits and other financial reviews.
- Provide financial data to the office manager and Owners as needed.
- Assist with phones, checking patients out, keeping office clean and organized.
Required Qualifications:
- Proven experience as a bookkeeper, accounting clerk, or similar role, preferably in a medical setting.
- Knowledge of medical billing systems, insurance claim processing, and healthcare financial regulations.
- Strong proficiency with accounting software.
- Familiarity with CPT codes, ICD-10 codes, and other medical billing terminologies.
- Detail-oriented with strong organizational skills.
- Ability to maintain confidentiality and manage sensitive information.
- Strong communication skills for interacting with patients, vendors, and insurance companies.
Education and Experience:
- High school diploma required; associate’s or bachelor’s degree in accounting, finance, or a related field preferred.
- 2-3 years’ experience with medical office bookkeeping or accounting is highly desirable.
Working Conditions:
- Full-time or part time position (typically Monday to Friday).
- Office environment within a medical practice.
- Occasional overtime may be required based on business needs.
