Role Description:
We are seeking an organized and proactive Operations Lead to join our team. The ideal candidate will be responsible for coordinating the smooth operation of various supply chain, logistics, and customer support activities. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks and priorities in a fast-paced environment. This is a hybrid position, based in our Burlingame office and requires in-office attendance 2-3 days per week, with occasional travel as necessary.
Key Responsibilities:
Supply Chain and Logistics Planning & Coordination
- Schedule and monitor the shipment and delivery of systems to customer sites, ensuring on-time delivery and customer satisfaction.
- Act as the primary liaison between logistics providers, customers, and internal teams to facilitate smooth operations.
- Ensure all shipping documentation is accurate, complete, and up-to-date for each shipment.
Scheduling & Administrative Support
- Manage training schedules, including coordinating with customers and trainers to ensure timely and effective training sessions.
- Maintain and update operations calendars to track project timelines, installations, and training events.
- Organize team meetings, prepare agendas, and take detailed meeting minutes as required.
Customer Support Assistance
- Provide initial responses to customer inquiries, ensuring prompt and professional communication.
- Escalate complex or unresolved customer issues to the appropriate internal teams for timely resolution.
- Track and update support tickets, ensuring all issues are addressed and follow-up actions are completed in a timely manner.
Operational Documentation Management
- Maintain accurate and up-to-date records of system deliveries, installations, and customer feedback.
- Assist in the development and updating of standard operating procedures (SOPs) and training materials.
Team Coordination
- Serve as a central point of contact for cross-functional teams, ensuring clear and effective communication between departments.
- Support the Director of Operations with various ad hoc tasks and projects as needed, contributing to the overall efficiency of operations.
Physical Requirements:
- Ability to lift and carry up to 50 lbs as needed.
- Perform tasks that involve physical activity such as bending, standing, and moving equipment as required.
Qualifications:
- Bachelor’s degree in Business, Logistics, Operations, or related field, or equivalent experience.
- 3-5 years of experience in operations, logistics, or project coordination, ideally in a fast-paced environment.
- Strong organizational skills with the ability to prioritize and manage multiple tasks and deadlines efficiently.
- Excellent verbal and written communication skills, with a focus on clear and professional interaction.
- Proven ability to work both independently and as part of a collaborative team.
- Detail-oriented and proactive, with a strong ability to solve problems and manage competing priorities.
- Technically oriented critical thinker
- Experience with customer support platforms or ticketing systems is a plus.
- Familiarity with supply chain management, logistics coordination, and operational documentation processes, including standard operating procedures (SOPs).
Salary Range: $95,000 - $120,000 Annually
The annual base salary range for this position based in the United States is listed above. This salary range is an estimate, and the actual salary may vary based on Magnus' compensation practices, job related skills, depth of experience, relevant certifications and training, in addition to geographic location. Based on the factors above, Magnus utilizes the full width of the range.
