Using patient and family-centered approach, the Med Surg/ICU Coordinator is a Registered Nurse who coordinates the day to day operations of the department. He/She will assist the Director of Med Surg/ICU as needed on a daily basis. The Coordinator will assume administrative responsibility in the absence of the Director. The Coordinator will support the organization’s Mission, Vision, and Values and demonstrate the employee standards of performance.
Essential Duties & Responsibilities:
- Department Coordination and Leadership Support:
- Facilitate and coordinate all departmental activities as needed to ensure efficient operations.
- Assist the Director in budget preparation, monitoring productivity, and identifying cost improvement initiatives while operating within approved budgets and managing resources effectively.
- Collaborate with the Director to ensure the availability and functionality of essential equipment and supplies for optimal patient care.
- Assist in the evaluation and monitoring of staff utilization to promote a productive work environment
- Ensure timely entry of all timekeeping information and assist in addressing personnel issues to foster a healthy workplace.
Staff Scheduling and Management:
- Manage personal scheduling and communicate with PRN staff to ensure shift completion.
- Oversee requests for earned time off (ETO), track VOS and attendance, and manage staffing needs.
- Act as a liaison between nursing staff and leadership, advocating for staff needs and providing insights from frontline experiences.
Payroll and Resource Management:
- Coordinate payroll processes and ensure accurate record-keeping for all staff.
Quality Assurance and Chart Audits:
- Conduct chart audits to identify knowledge deficits, inaccuracies in documentation, and potential policy changes. Provide real-time feedback to nursing staff to mitigate documentation fallout.
- Compile data for employee evaluations, integrating attendance records and feedback from patients and families.
Quality Improvement Initiatives:
- Monitor and follow up on quality dashboards to give immediate feedback on documentation practices and staff performance.
- Participate in the evaluation and enhancement of departmental procedures and policies, ensuring compliance with best practices and Joint Commission standards.
Hiring and Training:
- Assist in interviewing and selecting new employees, reviewing candidate information, and collaborating with the hiring team.
- Coordinate preceptorships for new hires, facilitating their orientation and providing support as a primary preceptor when possible.
Cross-Departmental Collaboration:
- Maintain effective communication between nursing and other hospital departments, serving as a voice for nursing staff in leadership discussions.
- Investigate concerns raised by patients, families, and staff, taking appropriate actions as assigned by the Director.
Staff Development and Support:
- Attend and assist in departmental meetings and competency assessments, providing education and support to staff as needed.
- Remain flexible in scheduling to accommodate the needs of both day and night shifts, including early visits to educate night staff.
- Acts in the role of primary nurse or resource nurse when needed to support staff shortages
Compliance and Confidentiality:
- Ensure compliance with federal, state, and local regulations, including adherence to Joint Commission standards. Maintain the confidentiality of patient and organizational information in accordance with HIPAA guidelines.
Professional Conduct:
- Demonstrate a positive attitude in all interactions, report to work punctually, and respect colleagues by adhering to established break times.
- Engage in ongoing professional development and seek guidance on compliance policies as necessary.
Additional Responsibilities:
- Fulfill other duties as requested or assigned, adapting to changes in departmental needs and priorities.
- Bachelor’s Degree from an accredited school/college of nursing
- Basic understanding of Word/Excel.
- Ability to work independently.
- Ability to multitask.
- Ability to work closely with director in following policies/procedures of hospital.
- Ability to handle staff concerns and report back to director.
- Minimum 3 years experience in nursing.
- Med-Surg and ICU experience
Preferred:
- Leadership training
- Excellent conversation skills
Certifications and Licenses Requirements:
Required:
- Current licensed Registered Nurse by the State of Ohio
- Current BLS/ACLS/PALS* Certifications
- BLS certification is required upon hire. ACLS & PALS certifications are required to be achieved as soon as possible but not later than six (6) months after hire date. All certifications required in this job description must be maintained by the employee throughout their employment.
- Preferred: Specialty certification in critical care or other medical/surgical nursing
