Occupational Health Receptionists are responsible for providing primary support to our occupational health providers by performing administrative tasks, assisting with patient intake, conducting basic medical screenings, maintain employee medical records, and coordinating employee health programs under the direction of the occupational health provider, all with a focus on workplace health and safety and efficient daily operations.


Essential Duties & Responsibilities:


  • Greet all patients/visitors with eye contact, a smile, and a friendly and helpful attitude.
  • Communicate information about delays to patients.
  • Schedule appointments in EMR according to practice requirements and provider preferences.
  • Document patient phone messages in EMR and route to appropriate personnel for follow-up as needed or required.
  • Label and scan appropriate documents into EMR, according to established guidelines.
  • Arrange patient appointments and reports for physicians and advanced practice providers. Communicates with clinical staff or providers regarding any patient not able to be worked into the provider’s schedule.
  • Track physician time off and keep Director informed.
  • Answer incoming telephone calls in a timely matter using proper etiquette at all times and route messages to personnel for follow up.
  • Run daily schedules for the following day appointments in preparation for EMR downtime.
  • Perform appointment reminder calls according to clinic operations and provider expectations.
  • Complete and submit the month-end provider productivity report.
  • Communicate the practice’s requirements for pre-authorizations, referrals, and payment at the time of service to patients who are making appointment.
  • Comply with federal, state, and local legal requirements by studying existing and new legislation, anticipating legislation, enforcing adherence to requirements, advising management on needed actions, and ensuring compliance with Joint Commission and other external and internal regulatory agencies.
  • Maintains the integrity of confidential patient information in accordance with HIPAA regulations and hospital policy, including accessing, using and disclosing patient information relevant to the individual employee’s job duties.
  • Maintain confidentiality of customer and hospital business affairs.
  • Adhere to the standards of Magruder Hospital’s corporate compliance policies, seek guidance and training when necessary to resolve questions about the policies, and reports violations in accordance with corporate compliance and organizational standards.
  • Attendance is an essential function of this position. Report to work on time and as scheduled, and show respect to co-workers by following established break times. Keep personal conversations and telephone calls to a minimum.

  • High School Diploma or GED equivalent.
  • Excellent organizational skills.
  • Strong verbal and written communication skills, including the ability to hear and speak clearly.
  • Strong interpersonal skills and ability to use tact and diplomacy to establish and maintain effective working relationships with patients, providers, co-workers, and management.
  • Ability to work well under pressure.
  • Ability to triage calls with complex and sometimes urgent requests and direct them to the appropriate personnel for assistance.
  • Experience in an appointment scheduling, customer service, or reception position, preferably in a health care environment.
  • Understanding of injury reporting: Assist in documenting and reporting work-related injuries and illnesses according to company policies.
  • Strong understanding of HIPAA.
  • Experience using an Electronic Medical Record (EMR).

Preferred:

  • Knowledge of medical terminology specific to occupational health.
  • Experience using a multi-line phone system, including transferring calls & paging.
  • Data entry skills.
  • Previous medical receptionist experience.
  • Basic Medical Screenings knowledge: Assists provider with pre-employment physicals, including vital signs, height and weight measurements, vision and hearing testing, and basic health assessments as directed by the physician.
