What are the responsibilities and job description for the Payroll Administrator position at Maher Terminals?
The Payroll Administrator is responsible for accurately and timely processing union employee payroll by calculating wages, deductions, overtime, and bonuses, maintaining employee records, ensuring compliance with payroll laws, and addressing payroll-related inquiries, often working closely with the HR department and Operations to update employee information and manage changes in employment status and pay rates in accordance with the applicable Collectively Bargained Agreement (CBA).
Role and Responsibilities:
- Coordinate and process the weekly wage payments of approximately 1,300 union employees via four (4) payroll entities (i.e. companies)
- Manage union employee tax forms and ensure appropriate taxes are applied to each employee using a working knowledge of state and federal taxes (deeper research as needed on local and other taxes)
- Reconcile & prepare weekly and monthly benefit payments due to various industry associations
- Maintenance and updating of employee information within the payroll processing system
- Coordinate with union representatives to resolve union employee inquiries regarding payroll matters
- Process manual payments required to reverse or correct payroll errors as needed
- Maintain complete and accurate notes related to weekly processing changes
- Upkeep of employee records and administrative duties, as needed
Prerequisite Skills:
- Solid and proven working knowledge of payroll processing
- Proficiency with Microsoft Office (specifically Excel) or related software and HRMS/Payroll systems
- Excellent organizational and time-management skills with a proven ability to meet strict deadlines
- Professional communication and interpersonal skills (verbal & written)
- Aptitude for critical thinking and problem-solving
- Ability to act with integrity, professionalism, and confidentiality
- Strong work ethic/dedication, commitment, and reliability
Preferred Skills:
- Working knowledge of ADP Enterprise HR
- Prior experience with processing Collectively Bargained Employee payroll
Education and Experience:
- Bachelors in Business Administration, or related field or 3 years of proven work experience in a payroll processing role
