We are looking for a highly organized and customer-focused Customer Service and Order Writer to join our fast-paced, dynamic team at Mail Data Inc. a leading direct mail company. In this role, you will be the primary point of contact for clients, sales and other customer service individuals.

The successful candidate will provide exceptional customer service while managing the writing and processing of orders for direct mail campaigns. Strong communication skills, attention to detail, and the ability to manage multiple tasks on tight deadlines are a must!

Key Responsibilities :   Customer Service :

  • Serve as the first point of contact for sales / CSR’s, answering inquiries related to direct mail products, services, and campaign progress via phone, email, or in person.
  • Provide exceptional customer service by addressing sales / client questions, concerns, and requests in a professional and timely manner.
  • Collaborate with sales and other CSR’s to gather detailed requirements for direct mail campaigns, ensuring all aspects of the project are clear and understood.
  • Offer advice and recommendations on direct mail services, including format, design, and mailing options, based on Sales / CSR’s needs and objectives.
  • Manage and resolve customer complaints or issues, working closely with production teams to find solutions and ensure client satisfaction.
  • Keep Sales / CSR’s updated on the status of their orders, ensuring transparency and meeting deadlines.
  • Maintain accurate customer records, document interactions, and update order information across multiple platforms

Key Responsibilities :   Order Writing and Processing :

  • Take detailed orders from Sales / CSR’s, ensuring that all relevant information (such as mailing lists, design specifications, quantities, and timelines) is accurately captured.
  • Write and prepare clear, concise order documentation for production teams, ensuring all necessary details are included for efficient processing.
  • Verify that all orders meet company standards and client specifications before processing.
  • Work closely with production, Data processing, Sales, and CSR teams to ensure that the order requirements are clear and achievable.
  • Track and monitor orders from initiation to completion, ensuring timely delivery and addressing any delays or issues that arise.
  • Maintain detailed records of orders, updates, and changes, ensuring that all necessary paperwork is completed accurately and submitted on time.
  • Skills & Qualifications :

  • Proven experience in customer service, preferably in a fast-paced or direct mail environment.
  • Strong written and verbal communication skills with a keen attention to detail.
  • Ability to manage multiple tasks and prioritize effectively to meet deadlines.
  • Familiarity with order management systems, or similar workflow tools.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work collaboratively in a team environment and with different departments (sales, design, production).
  • A proactive problem-solver who can handle issues with professionalism and care.
  • It would be great if a candidate also had :

  • Experience in direct mail services, including knowledge of print, production, and mailing processes.
  • High school diploma or equivalent; degree in Business, Marketing, or related field preferred.
  • Familiarity with order management systems or workflow tools used in the direct mail industry.
  • Previous experience in a customer -facing role with order processing responsibilities.
  • Strong organizational skills and the ability to maintain accurate records.
  • Physical Requirements :

  • Prolonged periods of sitting at desk and working on keyboard and monitors
  • Fine Motor skills for keyboarding and manipulating documentation
  • Ability to occasionally lift up to 15 pounds
