Description
Summary: Performs accounting and customer support, and non-management administrative duties by use of phone system, fax, computer and other office equipment. Assists with efforts to insure a safe, productive and harmonious work environment.
A. Essential Duties and Responsibilities include the following.
- Maintain customer sales files, invoice files, and records and ensures information is kept up to date and accurate.
- Finalizing daily and weekly job tickets.
- Prepares credit memos and rebills and obtains approval for such.
- Review invoices for appropriate documentation prior to payment.
- Verifying and calculating all extensions and totals on invoices.
- Preparing vouchers listing invoice number, date, vendor address, item description, amounts and coding per accounting policies and procedures.
- Maintain vendor files.
- Maintain accounts receivable records to ensure aging is up to date, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared.
- Perform daily cash management duties, including the recording of bank deposits, updating and distribution of cash receipt logs, and posting of cash to the accounts receivable sub-ledger.
- Monitor and collect accounts receivable by contacting clients via telephone, email, and mail.
- Communicates all pertinent issues to supervisor.
- Abides by guidelines and rules as contained in the Employee Handbook.

1. Education and/or Experience
- Associates degree (A.A.) or equivalent from two-year college or technical school preferred; six months to one-year related experience and/or training required; or equivalent combination of education and experience.
2. Language Skills
- Ability to read and comprehend instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, and other employees of the organization.
3. Mathematical Skills
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
4. Reasoning Ability
- Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving difficult and emotional situations.
5. Computer Skills
- To perform this job successfully, an individual should have knowledge of accounting software (preferably Great Plains); Database Software; Spreadsheet software and Word Processing software.
