Title: Receptionist/Main Office Administrative Assistant (Non-Union Support Staff)
Position Summary:
Facilitate Front Desk/Main Office operations and communication systems. Create and maintain an office tone that is welcoming, courteous, respectful and friendly for students, parents, staff and community members while maintaining a business-like, efficient and confidential environment. Support the work of the other members of the Main Office Staff.
Duties and Responsibilities (Not limited to):
Main Office Operations
*Oversee functions of main office and reception area
*Screen visitors for security purposes (restraining orders, unauthorized visitors etc.)
*Greet and direct visitors to appropriate locations
*Issue visitor passes
*Maintain lost and found
*Issue staff parking permits and maintain database
*Answer and direct inquiries from students, staff, parents and visitors
*Assist students and parents with dismissal and tardiness when house assistants are not available.
*Assist in emergency situations
Communication Systems and Operations
*Operate main telephone system for school, including incoming and outgoing calls, transfers and paging/public address system
*Update school voicemail greeting including when school closed due to summer, weather or emergencies
*Retrieve and distribute messages from the general voice mailbox
*Operate emergency phone system - contact for classroom emergency calls for nurse, police and 911.
*Serve as police liaison for 911 emergencies (direction for call origin and follow through)
Staff Attendance and substitute coordination
*Process all staff absence forms/requests
*Produce bi-annual report with statistics of class coverage
*Work closely with Department Coordinators regarding class coverage needs
*Assist Curriculum Director with hiring of substitute teachers
*Communicate with substitute teachers, schedule class coverage, work with Business Office to ensure payment of substitute teachers
Additional Responsibilities:
*Monitor daily announcements on-line
*Monitor and log field trip requests
*Maintain employee database with office assignments and phone extensions; update staff emergency phone chain and staff extension list
*Employee mail distribution
*Staff Reception Desk on Back to School Night; organize volunteers for Back to School Night (once a year – evening)
*Provide support to Main Office Staff during peak periods
*Various projects as assigned
*Work permits
*Other duties as assigned
Education and Experience:
*High School diploma required/College degree preferred
*Strong computer skills and proven ability to learn new systems required
*Experience with Google Workspace and Aspen, a plus
*Three years of municipal office experience
Necessary Knowledge, Skills and Abilities:
*Be able to interact positively, professionally and patiently with students, parents, school staff and community members.
*Be able to maintain confidentiality with regard to staff, student and parent information.
*Be able to work independently as well as collaboratively, manage multiple tasks and to interact with students, parents, school staff and administration.
*Be able to handle stressful situations and follow protocol in an emergency situation.
*Be able to communicate clearly both verbally and in writing, manage and organize records, proofread, maintain accuracy with details, and meet deadlines.
Work Schedule: Ten Months (190 days); Full Time; 7:30am-3:30pm
Salary Range: $27.53/Hour - $36.75/Hour
Reports to: Director of Curriculum, Instruction and Assessment
