JOB SUMMARY:
The Accounts Receivable and Program Specialist is supervised by President/Chief Executive Officer. The specialist oversees all of the activities in the accounts receivable function for the association, its subsidiaries, and its affiliates. The position monitors registrations and financial components for educational courses and conferences. In addition, the specialist provides program and administrative support including receptionist duties such as answering telephone, processing mail, filing, ordering supplies, scheduling conference room space, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Manages the invoicing process from creation to distribution through Sage accounting software.
- Records payment details, ensuring the accuracy of financial records and facilitating easy identification of outstanding balances.
- Maintains accurate records and control reports. Prepares member invoices and monthly statements.
- Diligently tracks outstanding payments, maintains accurate records and control reports, and promptly communicates with members reminding them of outstanding balances.
- Provides monthly reports on outstanding balances to Director of Finance and President/ CEO.
- Prepares daily deposit slips for MHCA, its subsidiaries, and affiliates.
- Answers member inquiries regarding account status and fosters positive relationships.
- Makes collection calls to past due members, sets up monthly payment schedules if necessary, and refers past due accounts to Director of Finance and President/CEO.
- Enters and updates registration data in the database for educational sessions and conferences. Assists the Director of Business & Information Services, who oversees the database, in maintaining the accuracy of the database.
- Provides Education Program & Conference Coordinator with registration tracking spreadsheets for education courses, conference and events and assists with programs as needed.
- Follows up on education courses for invoicing.
- Staffs MHCA programs and events, i.e. Fall Conference, Remember ME, Mike McNeil scholarship applications and Cash Calendar fundraiser, Excellence in Long term Care, other special events including ordering supplies and administrative support/planning for these events. This may require evening and weekend hours on limited occasions.
- Responsible for office support activities, including greeting visitors, answering and routing phone calls, maintaining inventory of office and kitchen supplies, maintaining office equipment, and distributing mail, making deposits at bank.
- Assists with coordinating meetings, catering, and performs other responsibilities as needed with CEO/ President and MHCA Board of Directors.
- Maintains MHCA meeting room reservation calendar, coordinates member requests for use of meeting space.
- Assists staff with special projects as needed, and performs other duties as assigned.
EDUCATION AND EXPERIENCE:
Associates degree and 1-2 years of experience in a related field OR 3-5 years of experience in a related field is required.
WORKING ENVIRONMENT:
Fast paced office setting with limited in-state travel and occasional evening and weekend events.
KNOWLEDGE, SKILLS, AND CHARACTERISTICS:
· Self-directed, self-motivated, able to work independently
· Detail oriented and accurate
· Able to maintain confidentiality of organization’s financial information and other confidential data
· Ability to multitask and understand intricate procedures and processes is essential
· Able to accurately account for financial transactions
· Experience with PayPal, basic Excel data entry, and computerized accounting systems with strong attention to detail and proficiency in standard desktop applications (i.e., Windows, Office Suite, Access, etc.)
· Familiarity with Sage accounting software strongly preferred
· Strong customer service skills with well-developed interpersonal skills including being tactful and persistent when addressing member needs and concerns
· Ability to communicate effectively and professionally via phone, email and in person
· Ability to work well as a member of a team
FULL TIME POSITION: 37.5 hours a week with an office schedule of 8:30 am- 4:30 pm Monday- Thursday and until 4:00 pm on Fridays.

HOURLY WAGE RANGE: $24.00 - $28.00 per hour
