POSITION DESCRIPTION
Job Title: Project Manager
General Description: The Maine Medical Association, Center for Quality Improvement (MMA-CQI) Project Manager is responsible for developing, designing, and leading collaborative initiatives and projects focused on incorporating MMA-CQI strategic priorities to transform health and healthcare. The Project Manager will work in partnership with MMA-CQI staff, partner organizations, and funders to meet project goals.
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
- Bachelor’s degree in health care or related field; master’s Degree preferred.
- Knowledge of Maine’s maternal, perinatal, and child health systems and services
- Two to five years or more years of demonstrated project management experience.
- Demonstrated understanding of and experience applying fundamental project management concepts and steps, including project initiation, planning, building/executing, and closing.
- Demonstrated ability to manage grant funded contracts funders and to subcontracts issued to independent contractors.
- Demonstrated experience and ability managing data related to project needs, including reporting requirements and managing data required by project teams.
- Excellent oral communication and presentation skills; ability to demonstrate excellent writing and written communication skills.
- Excellent relationship management skills; demonstrated advanced group process and group facilitation skills; demonstrated ability to effectively lead internal and external work teams.
- Experience with basic financial management skills as it pertains to project management accountability for monitoring and managing labor and material expenses associated with specific projects for which the Project Manager is responsible.
- Ability to work both independently and to collaborate with teams of individuals in diverse settings, and with solution-oriented approaches.
- Demonstrated ability to work effectively with wide range of stakeholders.
- Proficiency with Microsoft Office, spreadsheet software, and time/project management tools.
Preferred Experience and Skills
- Experience in clinical setting, such as experience in any of the following: care delivery, quality improvement, research, operations, or administration.
- Experience in maternal, perinatal, and child health systems and services.
- Knowledge of and experience applying quality improvement principles and methods.
- Identifies and shares best practices through webinars, website, and/or Learning Community sessions.
- Familiarity with educational requirements for clinicians, including Continuing Medical Education credits (CME).
- Knowledge of Maine’s healthcare environment and maternal and child health environment.
ESSENTIAL FUNCTIONS AND PERFORMANCE EXPECTATIONS
Develops, Designs, and Manages Projects
- Commits to and performs high quality work that contributes to the vision and mission of MMA-CQI.
- Identifies and/or develops project requirements to define specific project scope.
- Collaboratively develops strategies, tactics and metrics needed to accomplish project goals.
- Develops project workplans and timelines, and monitors timeline to assure timely completion of project tasks.
- Manages projects to defined scope, schedule, and budget; employs project management methodologies to ensure achievement of project goals.
- Identifies, convenes, manages, and leads the team responsible for developing and managing the project; identifies, develops, and manages team composition and competencies needed to ensure achievement of project goals.
- Develops project related presentations, improvement resources and tools.
- Convenes and provides staff support to project teams, workgroups, task forces, and other meetings as necessary, including preparation of meeting agendas and materials, facilitating meetings, preparation of meeting minutes, and ensuring appropriate follow up of action items.
- Develops and implements project communication plan that clearly articulates the vision, purpose, and goals and provides ongoing updates to both internal and external stakeholders.
- Recruits and cultivates strong relationships with participants, including members of steering committees and work groups, implementation teams, speakers, content experts, and consultants.
- Develops and implements project data management plans; collects project data; develops feedback tools as indicated.
- Manages contracts and relationships with funders.
- Develops and disseminates project materials and communications as needed.
- Manages ad hoc projects as needed.
Supports Integration with Other Related Initiatives
- Identifies and facilitates opportunities to integrate projects with other MMA-CQI initiatives.
- Works with other relevant organizations and statewide groups, as applicable, to coordinate and align quality improvement efforts.
- Continually looks for opportunities to collaborate with current and new partners on quality improvement projects related to health care, maternal and child health, and early childhood systems of care to maintain MMA-CQI’s standing as a neutral convener.
Ensures Appropriate Communication with Key Stakeholders
- Works with MMA-CQI staff to create and update web-based communications and information.
- Makes presentations to individuals and groups as indicated.
- Contributes to MMA-CQI and project communications as appropriate.
WORKING CONDITIONS
Reporting Relationship: Reports to MMA-CQI Director
Physical Demands: Ability to write, operate a computer, printer, fax machine, photocopier, and use telephone communication devices. Must be able to lift to 20 lbs.
Work Environment: We are a remote first organization with a hub in Manchester, Maine. However, responsibilities may require traveling to meetings, conferences, and trainings, etc. that require an individual to be in various public places.
