Position Overview:
We are seeking a highly organized and detail-oriented Assistant to the Maintenance Manager to support the efficiency of our maintenance operations. This role will be responsible for conducting home checks and inspections, expediting maintenance tasks, coordinating with vendors, managing work order scheduling, and ensuring work is completed to company standards. The ideal candidate is proactive, communicative, and capable of handling basic troubleshooting and maintenance tasks when needed.
Key Responsibilities:
- Home Checks & Inspections: Perform routine property inspections to identify maintenance needs and ensure compliance with company standards.
- Vendor Coordination & Oversight: Provide access to tradespeople, oversee work being completed, and conduct post-work inspections to verify quality and completeness.
- Assist in Vendor Payment Approvals: Conduct inspections to verify the completion and quality of vendor work, providing necessary information to assist in the approval process.
- Maintenance Task Expediting: Assist in prioritizing and ensuring maintenance tasks are completed efficiently and on schedule.
- Manage Work Order Scheduling & Prioritization: Organize and prioritize maintenance requests using PropertyMeld software to track, assign, and ensure timely completion of work orders.
- Tenant Coordination: Interface with tenants to schedule repairs and coordinate access to their units for necessary maintenance work.
- Owner Updates: Communicate with property owners to provide updates on maintenance requests, scheduled work, and completed repairs.
- Basic Maintenance & Troubleshooting: Have knowledge of household systems, perform basic troubleshooting, and complete basic maintenance tasks as needed.
- Record Keeping: Maintain accurate documentation of inspections, maintenance requests, and vendor work.
- Collaboration: Work closely with the Maintenance Manager, property managers, and other team members to streamline operations and address maintenance issues proactively.
Qualifications:
- Experience in property maintenance, facility management, or a related field is preferred.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Knowledge of household systems and ability to perform basic maintenance tasks and troubleshooting.
- Excellent communication and customer service skills.
- Ability to work independently and problem-solve on the spot.
- Technology proficiency, including experience with work order management software (preferred: PropertyMeld software).
- Valid driver’s license and reliable transportation.
