Job Summary:
The Intake Coordinator is responsible for managing the intake process for clients seeking admission to the facility. This position serves as one of the primary points of contact for prospective clients, family members, legal entities, and referral sources, guiding them through the intake process, answering questions, and providing information about our programs and services offered. This role requires strong communication skills, empathy, and the ability to work collaboratively with individuals in recovery and a multidisciplinary team of professionals.
Responsibilities Include:
- Managing the intake process for individuals seeking admission into treatment by assessing potential client’s treatment needs, completing a preadmission screening with the client, determining their eligibility for our programming based on meeting ASAM criteria, verifying benefits, and scheduling clients for admission when appropriate or assisting with referrals to higher levels of care as needed.
- Collect required documentation, such as medical records, identification, and insurance information, to ensure all intake materials are accurate and complete.
- Maintain CRM records and Electronic Medical records with accurate, up-to-date records, assessments, consent forms, releases and other documentation of all admissions in accordance with confidentiality regulations.
- Support the admissions team in tracking bed availability and ensuring timely placement for qualified individuals.
- Effectively determine and communicate necessary finances due upon admission.
- Maintain positive relationships with potential clients, family members, referents, and other community members.
- Follow up with daily scheduled admissions and intakes.
- Provide compassionate, empathetic, knowledgeable customer service to all clients and family members.
- Complete biopsychosocial assessments for clients admitted to our program.
- Excel in teamwork, working in unison with all departments to ensure positive patient experience.
- Responsible for reviewing and being accountable for monthly departmental and individual KPI’s to include turnaround time of first contact with client to the admission, conversion rate of inquiries to admissions, average daily census, number of admissions, contact quality of handling calls, average speed of answer, client satisfaction survey scores, completed documentation, and completed BAM-R assessments on admission.
- Perform all other duties as assigned.
Qualifications
Minimum Qualifications:
EDUCATION/CREDENTIALS
- Bachelor’s degree in a human service field.
- CSAC (or under supervision).
EXPERIENCE
- Prior experience working in an inpatient mental health/addiction treatment center preferred.
- Experience working in a team setting.
- Experience with an electronic medical record (EMR) system for documentation.
KNOWLEDGE/SKILLS
- Understanding of 12 Step Recovery process
- Proficiency in Microsoft Excel and Office
- Ability to adapt, multi-task, and change focus to new tasks or goals.
- Ability to negotiate or overcome barriers.
- Attention to detail - documentation skills.
- Demonstrate excellent interpersonal communication skills.
- Ability to motivate those seeking treatment.
- Ability to connect and empathize with patients and families.

Job Type: Full time, direct care position, 40 hours per week, shift work, Monday-Friday 11:30am-8:00pm and weekends may be required.
