Maize Virtual Preparatory School is seeking a full-time Administrative Assistant. This is a 12-month position with a July 1, 2025 start date.
Primary Purpose:
The Administrative Assistant will assist in the day-to-day operations of the school, school-wide communication and the management of student data. This position requires the utilization of a growth mindset in exploring innovative applications and performance of the various day-to-day functions.
Qualifications:
Education/Certification: High School Diploma required. Bachelor’s degree preferred.
Experience: Excellent customer service skills and the ability to establish effective working relationships administrators/staff/parents/students and community in a positive manner, along with strong written and oral communication abilities. Initiative to complete tasks with minimal supervision. Experience with student information systems and/or graphic design tools preferred.
Major Responsibilities and Duties:
- Monitor emails and phone calls, ensuring prompt responses and assistance.
- Work with the administration team to complete needed tasks for the smooth operation of the school.
- Work with the administrative team to provide assistance in the enrollment process including contacting prospective students and scheduling administrative appointments.
- Provide support to families in completing required enrollment documentation.
- Enhance school-wide communication and community engagement through various platforms.
- Assist in the management of new student records, including proof of residency, immunization records, address management, and other required documentation, maintaining accurate and up-to-date information.
- Assist with the management of online learning platforms.
- Work with the administrative team to compile and distribute the MVPS Monthly newsletter and weekly updates.
- Assist the administrative team by creating visually appealing documents, presentations, etc.
- Assist with distribution and collection of MVPS materials. This includes traveling in August and May to distribution and collection sites, assistance with organization and packing of materials, and shipping materials.
- Work with the administration team to coordinate state assessment testing sites/sign-ups and other in-person activities.
- Participate in meetings, workshops and seminars for the purpose of conveying and/or gathering information required to perform functions.
Mental Demands/Physical Demands/Environmental Factors:
The job typically involves extensive computer work and periodically moving curriculum and materials. Occasional travel is also required. Due to the varied tasks, a growth mindset is essential. Mental demands include managing frequent interruptions, maintaining emotional composure during stressful situations, problem-solving, decision-making, and interpreting data.
Attendance: Must maintain regular and acceptable attendance/punctuality as required by the Board of Education policies and regulations.
