SUMMARY
The Human Resources Administrative Specialist plays a key role in supporting the daily operations of the Human Resources department. This position helps ensure that employees—our most important clients—feel supported, respected, and valued throughout their time with us. Working closely with the Human Resources Director, this role provides consistent administrative support across many HR functions, with a strong emphasis on confidentiality, organization, and clear communication.
This position is ideal for someone who brings a strong administrative background and is looking to grow their career in Human Resources. The right candidate will be organized, tech-savvy, and dependable, with a warm and approachable presence. They’ll help support recruiting, onboarding, benefits coordination, employee communications, and daily office needs—all while contributing to a culture rooted in hospitality and care.
This is a full-time, on-site position. Being present on property allows this individual to build relationships across departments, provide timely assistance to employees, and contribute meaningfully to the daily life and culture of the organization.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Support the HR Director in handling daily administrative responsibilities across all areas of Human Resources
- Respond to employee questions and direct them to the appropriate resources with professionalism and care
- Assist with recruiting tasks such as job postings, interview scheduling, and applicant tracking
- Conduct consistent and welcoming new hire orientations
- Maintain accurate, confidential employee records and documentation
- Help track benefits enrollment forms and respond to employee inquiries during open enrollment periods
- Support the tracking of employee certifications, trainings, and policy acknowledgments
- Assist with offboarding logistics, file updates, and coordination of final documentation
- Contribute to planning and setup for employee events, trainings, and seasonal programs
- Help create clear, professional materials such as onboarding documents, benefit guides, and basic signage or internal flyers
- Maintain an organized, efficient, and welcoming HR office environment
- Support internal communication efforts with polished, timely updates as directed
- Assist with special projects and department initiatives as assigned
QUALIFICATIONS
- 2–3 years of experience in an administrative or HR support role
- Excellent organization and attention to detail
- Strong understanding of administrative technology and systems; comfortable using platforms for communication, data entry, and content creation
- Ability to create professional, easy-to-understand materials using design or presentation tools such as Canva, PowerPoint, or similar platforms
- Comfortable speaking in front of groups for new hire orientations or internal meetings—preferred
- Clear and warm written and verbal communication skills
- Proven ability to handle confidential information with discretion and professionalism
- Experience in hospitality, resort, or seasonal operations is a plus
- Eagerness to grow within Human Resources and contribute to a people-first environment
WORK ENVIRONMENT
- This position is based on property to best support employees and foster cross-departmental collaboration
- Standard office setting with regular in-person interactions across departments and employee groups
- Requires sitting, standing, and walking throughout the day
- May require occasional lifting of up to 25 lbs (e.g., supplies or file boxes)
- This role may follow a non-traditional schedule, which could include weekends and days off during the week. Scheduling will be thoughtfully coordinated to ensure strong HR presence and support across the full week
