THE ROLE
The Executive Assistant is an integral member of the executive administration team, providing support to the executive office and contributing significantly to departmental operations. This position reports directly to the Executive Integration Manager (EIM) with matrixed reporting to the CEO.
Where You Come In
As the Executive Assistant you will :
- Research, prioritize, and follow up on incoming matters and concerns, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, and / or response
- Handle various administrative tasks such as managing calendars, coordinating meetings with internal and external stakeholders, reconciling expense reports, and plans / coordinates travel itineraries
- Proactively create meeting calendars, prepares, and distributes meeting notifications, agenda materials, and minutes- manages all correspondence around meeting execution
- Prepare materials and presentations using research, insights, qualitative and quantitative data, in collaboration with the data governance and strategy teams
- Responsible for virtual and in person meeting prep, setup including facilities, A / V needs, or other special meeting needs
- Board Committee Support- writes and distributes minutes and maintains accuracy of committee minutes and attendance records
- Collaborates on a variety of special projects
- Maintain key documents including contact information lists and ensures that staff milestone recognitions are coordinated
- Other duties as assigned
