Position: Marketing and Storytelling Operations Coordinator
Employment Type: Full-Time, Non-Exempt, Eligible for Overtime
Reporting To: VP of Marketing and Storytelling

Proposed Weekly Schedule

  • Monday (Remote): 8:30 AM – 5:00 PM (30-minute lunch break)
  • Tuesday (Remote): 8:30 AM – 5:00 PM (30-minute lunch break)
  • Wednesday (Remote): 8:30 AM – 5:00 PM (30-minute lunch break)
  • Thursday (In-Office): 8:00 AM – 5:00 PM (1 hour lunch break)
  • Friday (Remote): 8:30 AM – 5:00 PM (30-minute lunch break)

Making Waves Education Foundation is a Bay Area nonprofit committed to equity. We support Making Waves Academy—a public charter school serving over 1,000 students in grades 5 through 12—and lead college and career programming for more than 430 college students. Our mission is to partner with historically underrepresented and underserved students to make college affordable and graduation attainable. Through personalized support, including college and career coaching, scholarships, and financial planning, we empower students to achieve their educational and career goals.

What You'll Do
The Marketing and Storytelling Operations Coordinator will play a key role as a part of a small team that is promoting equity by making college and career resources more accessible, building community by celebrating student stories, and driving impact by building brand awareness and engaging new supporters.

This position requires strong organization, project coordination, and communication skills to support marketing and storytelling projects, digital operations and analytics, content management, and technology and tools. This role is for someone who enjoys staying organized, taking ownership of assignments, paying attention to detail, learning by doing, and working collaboratively.

You will coordinate projects and champion operations that help reach innovative marketing and storytelling goals to advance Making Waves' mission. You will gain exposure to branding, marketing, storytelling, social media and multimedia strategy, and internal communications while working across teams, with interns, and external vendors.

  • Pay: $31.58-$42.92 per hour (equivalent to $65,981-$89,269 annually), depending on experience. We provide our best offer upfront and do not negotiate salaries.

Key Responsibilities

Marketing and Storytelling Projects

  • Assist in planning, scheduling, reviewing, and executing the marketing and storytelling content calendar with campaigns across website, email, social media, digital ads, events, etc.
  • Support and/or lead long- and short-term project planning, mapping out deliverables, meeting deadlines, communicating effectively across teams, and facilitating and documenting assessments.
  • Support implementing best practices in accessibility, diversity, equity, inclusion, and user experience in marketing and storytelling.
  • Create user-friendly training documents and establish repeatable processes, templates, or workflows for regularly scheduled projects or cyclical initiates.

Digital and Multimedia Operations

  • Support website management, including project coordination for website project requests, making website edits and updates, drafting new webpages, submitting and following through with tickets with IT or website developers.
  • Lead a process for timely digital impact and analytics reporting, including organizing, analyzing, and visualizing data from multiple tools, channels, and sources.
  • Help manage social media and digital channels as well as photo, video, and media organization, ensuring accessibility standards across web, social media, and other content.
  • Support Google Ad Grant maintenance and SEO including through editing and keyword analysis.

Storytelling, Content, and Asset Management

  • Coordinate with vendors (e.g., photographers, videographers, designers, web developers) including scheduling meetings, planning logistics for photoshoots and filming, processing payments, and organizing reviews and deliverables.
  • Manage photo and video database and file organization with attention to detail. Organize files and follow through with approvals from photoshoots, videoshoots, and user-generated content.
  • Support brand management including organizing brand assets, coordinating branded swag orders and supply orders, and reviewing content and publications.
  • Provide writing, editing, proofreading, design, website, website, and administrative support for news and storytelling.

Marketing Technology and Tools

  • Coordinate the implementation and optimization of marketing tools, technologies, and workflows (e.g., email marketing systems or CRMs, photo and media file management or DAMs, websites, design software, and social media scheduling and analytic tools).
  • Follow a consistent schedule for monitoring marketing tech stack, troubleshooting issues, providing updates and recommendations for process improvement.
  • Manage occasional updates and maintenance of internal marketing resources and requests site.
  • Provide occasional tech support for Zoom or similar webinars and panels.

Project Coordination, Collaboration, and Communication

  • Follow through with requests, track milestones and deadlines, and plan time accordingly. Provide clear communication in multiple directions, ask questions and seek guidance, and make connections between different projects and processes.
  • Provide daily updates and communication in project management software and help manage team inboxes, messages, and shared drives.
  • Use interpersonal skills and an inclusive approach to collaborating across teams, considering different perspectives.
  • Help champion team strategies, projects, and brand management including occasionally presenting at All-Hands or team meetings. Provide support for internal communications and clear messaging around project plans, launches, updates, and assessments.

Qualifications

  • 2 years of combined relevant experience, including full or part-time work, internships, and related project work.
  • Strong organizational, time management, project coordination skills, with the ability to prioritize tasks, maintain detailed workflows, troubleshoot issues, meet deadlines, and work collaboratively across teams.
  • Experience working with or ability to learn digital and multimedia software and systems (e.g., web content management systems, social media channels, email marketing tools, Adobe Creative, Canva, Giphy, Google Analytics and Ads, Asana).
  • Strong listening skills, verbal and written communications skills, with a strong ability to give, receive, track, and implement feedback.
  • Consistent attention to detail and willingness to double check work.
  • Commitment to championing diversity, equity, inclusion, and accessibility in marketing and storytelling.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
