Mala Child & Family Institute is seeking an organized, detail-oriented, and proactive Office Manager to join our team. The Office Manager will play a key role in ensuring the smooth and efficient operation of our office, supporting our team of mental health professionals, and contributing to the overall success of our organization.
We would like this person to visit our Farmington Hills location one day a week, our Plymouth location one day a week, and our Ann Arbor location one day a week. This is currently a part time position, but based on performance and our needs, it has potential to become full time.
Key Responsibilities:
- Oversee daily office operations, including managing administrative staff, coordinating schedules, and ensuring a clean and organized work environment.
- Serve as the primary point of contact for internal and external communications, including handling phone calls, emails, and in-person inquiries.
- Maintain and organize office records, including patient files, billing information, and other confidential documents.
- Coordinate appointments, meetings, and events, ensuring all logistical details are managed effectively.
- Manage office supplies inventory, including ordering, stocking, and tracking usage.
- Assist with human resources tasks, such as onboarding new employees, maintaining personnel records, and managing employee benefits.
- Handle financial tasks, including invoicing, processing payments, and assisting with budget management.
- Implement and maintain office policies and procedures to improve efficiency and effectiveness.
- Support the mental health professionals in their administrative needs, allowing them to focus on patient care.
- Ensure compliance with all relevant regulations and standards.
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or similar role.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills.
- Proficiency in office management software (e.g., MS Office, Google Workspace).
- Knowledge of basic accounting principles and experience with financial tasks.
- Familiarity with human resources practices and procedures.
- Ability to handle sensitive information with discretion and confidentiality.
- Problem-solving skills and a proactive approach to improving processes and addressing issues.
- Experience in a healthcare or mental health setting is a plus.
Compensation:
- $18-20 per hour to start with

Job Type: Full-time
Pay: $20.00 - $23.00 per hour
