Reservation Specialist

About the Role

Malka is a Kosher Israeli restaurant with origins in Tel Aviv, expansions in NYC and Brooklyn, and a newest location in West Palm Beach. We are currently seeking a dynamic and detail-oriented Head Host to join our team. The job goes far beyond a traditional host job, as this position will play a crucial role in creating and maintaining seamless reservation systems across our FOH and BOH teams. This is a full-time, hybrid remote/onsite position. Excellent administrative and English writing skills are required.

Responsibilities:

• Managing the restaurant email inbox – must be able to think critically to solve problems and offer creative solutions on a case-by-case basis
• Managing the restaurant phone calls and voicemail inbox (routed to email)
• Inputting and managing all large party prix-fixe reservations, from initial email to final communications across all staff including BOH and FOH managers
• Effectively communicate with Maitre D and service hosts about feedback from the previous services on a regular basis in order to improve systems and guest experiences
• Creating and maintaining a system for internal and VIP reservation requests, using a high-level thought process to make decisions
• Managing reservations made through reservation partners
• Monitoring the floorplans on a daily, medium, long-term basis, to catch problems in advance while maximizing overall nightly covers
• Creating the host team schedule in 7shifts
• Strategizing with managers and administrators to identify patterns and optimize online reservation and floorplan settings
• Updating training and email template documents to reflect current processes
• Nurturing collaborative relationships with PR agencies, concierges, and other industry contacts
• Supporting onsite host staff both before and during shift by maintaining a communication flow about guest needs and special notes
• Utilizing and supporting sister venues throughout the booking and problem-solving process
• Adhere to all policies and procedures outlined in the company handbook
• Interacts with people beyond giving and receiving instructions, particularly in resolving guest complaints
• Provide guests with key information about the restaurant's policies, culture and ambiance through all communications
• Adhere to all company policies outlined in the handbook

Skills & Requirements:

• Excellent written and verbal communication and hospitality skills – must be able to professionally represent the restaurant to customers and partners at all levels
• 4 years minimum customer service experience with a proven track record of delivering exceptional service and resolving customer inquiries in a timely and efficient manner
• Excellent organization and leadership skills with the ability to manage reservations efficiently, prioritize tasks, and handle multiple responsibilities simultaneously
• Adaptability – must be able to work in a fast-paced environment, remain calm under pressure, and adapt to changing circumstances
• Warm personality and a natural ability to interact with people in an upbeat, fun manner, which is crucial to the experience at Malka
• Must be excited about our food, brand and story
• Experience with Resy preferred
