Position Summary
The Reception/Hospitality and Mailroom Specialist will support daily operations across multiple client sites, including managing mailroom duties, copy/print services, shipping/receiving, and general reception/hospitality tasks. This role requires travel to different locations and troubleshooting office equipment, as well as providing high-quality customer service and supporting process improvement initiatives.

Position Summary
The Reception/Hospitality and Mailroom Specialist will support daily operations across multiple client sites, including managing mailroom duties, copy/print services, shipping/receiving, and general reception/hospitality tasks. This role requires travel to different locations and troubleshooting office equipment, as well as providing high-quality customer service and supporting process improvement initiatives.
Key Responsibilities
- Provide coverage for absences or vacations of onsite staff, potentially including site management.
- Perform reception and hospitality duties, greeting and assisting visitors, coordinating events, and ensuring a welcoming environment.
- Manage mailroom operations, including receiving, sorting, and distributing mail and packages.
- Handle copy/print services and troubleshoot minor printer/copier issues.
- Perform shipping and receiving tasks, ensuring accurate and timely processing.
- Provide field support for the implementation of new customer accounts and service expansions.
- Assist with onboarding and training new team members, as well as cross-training peers.
- Develop and maintain Site Procedure Guides, ensuring compliance with operational best practices.
- Conduct visual inspections of services and equipment for safety and compliance.
- Create and maintain a customer-focused environment, escalating and resolving customer issues as needed.
- Communicate effectively with customers, end-users, and management, responding promptly to all inquiries and requests.
- Experience in reception, hospitality, mailroom, copy/print, and shipping/receiving services.
- Valid driver’s license and willingness to travel between locations (Stamford, Greenwich, New Haven, CT, and Armonk, Yorktown Heights, NY)..
- Strong customer service and communication skills.
- Ability to troubleshoot minor printer/copier issues.
- Excellent organizational and time-management skills.
- Monday to Friday, with shift hours varying between 7am and 6pm.
- Occasional overtime may be required.
- Availability between 7am and 7pm, with flexibility to travel to different work sites.
