Position Title: School Administrative Associate I – Baldwin Intermediate
Pay Grade: 10 Period of Employment: 12 months

Supervised by and/or Reports to: Building Administrator
General Responsibilities: Ensure the smooth operation of the front office by assisting staff, students, parents, and the community as needed.
Essential Duties:

- Maintains the general function of the school main office and acts as the office team leader.
- Maintains the principal’s calendar and schedules his or her meetings and appointments.
- Handles the enrollment and withdrawal of students, including but not limited to: computerized information, scanned forms, monthly reports, student data, and class listings and numbers.
- Facilitates and acts as point of contact for summer school registration.
- Maintains student records.
- Secures, maintains, and distributes building keys
- Acts as the administrative support for the Principal and Assistant Principal.
- Coordinates activity buses and field trips; communicates student transportation changes to the Transportation Department
- Maintains staff directory and telephone tree.
- Serves as the substitute coordinator.
- Processes staff payroll; maintains EPED and other paid assignment spreadsheet.
- Assists in planning events that take place in the school.
- Compiles and maintains various school, city, and state reports on a weekly, monthly, and yearly basis.
- Serves as the School Safety Coordinator.
- Coordinates, develops, and updates logs for administrators and supervisors to track new employee interviews.
- Secures data, types letters, and finalizes packets for student expulsions and other correspondence such as informational letters, packets, etc.
- Sends meeting reminders and composes meeting agendas for supervisors, administrators, and faculty.
- Answers phones and greets visitors, staff, and students to the office; provides information.
- Oversees the monthly school newsletter by securing articles, editing, and proofreading.
- Mails school correspondence.
- Maintains spreadsheets and/or reports on all building activity; coordinates with bookkeeper.
- Verifies receipt of merchandise, obtains equipment inventory forms in coordination with the bookkeeper.
- Assists with creating and communicating regarding lunch accounts.

Requisite Education and Experience:
- Must possess a high school diploma or equivalent (GED).
- Prior clerical or administrative assistant experience preferred.
Physical Requirements:
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to: a personal computer, calculator, copier, and fax machine. Some climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, or repetitive motions required.
