What are the responsibilities and job description for the Administrative Assistant position at Manatee School For the Arts?
Executes secretarial and administrative assignments of confidential nature and relieves management of clerical, administrative and business detail as necessary.
Performs standard administrative functions such as screening telephone calls, opening mail, scheduling appointments and maintaining the calendar, sets up the office filing system and coordinates meetings.
- Under general supervision, provides a broad range of secretarial & administrative support that may include details of a confidential nature.
- Sets up and maintains official department filing system, records management, databases.
-Develops understanding of teacher certification requirements and works with faculty to ensure compliance with required certification and re-certification credentials.
-Maintains reporting and compliance databases, including People Soft and Charter Link.
- Prepares memos, correspondence, agendas, minutes, and policy explanations.
- Collects, compiles and analyzes information as required by manager(s). Assists in departments reporting requirements and form completion.
- Organizes travel arrangements and completes expense reports.
- Interfaces with various levels of management across organizations and with external customers.
- Other duties as assigned.

EDUCATION:
- College Degree required; some specialized secretarial training preferred. Extensive experience (5 years) in a directly related position may be substituted for college degree.
EXPERIENCE AND REQUIRED SKILLS:
- Minimum 3-5 years of related experience
- Prior work experience in the Teaching profession highly desirable.
- Knowledge of Educational business & technical vocabulary
- Familiar with standard business concepts, practices & procedures within administrative support.
- Able to employ basic reasoning and analytical skills.
- Highly proficient in computer software such as Microsoft Office products, spreadsheets, presentation, database programs.
- Proficient in organizational operations and procedures.
