We have dozens of ready-mix and asphalt production facilities around the state of Iowa. Our massive fleet of dump and ready-mix trucks serves thousands of job sites every year. In addition, our concrete and asphalt paving divisions, along with our various other crews, complete hundreds of projects every season.

We have an immediate opening in our Brooklyn, Iowa Office for a Contracts Associate.

Manatt’s Contracts Associate will support the Contracts Administration team in managing and tracking contracts, documentation, and project data. This role involves close collaboration with various departments to ensure contracts are accurate, compliant, and efficiently managed. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to communicate effectively with internal teams and subcontractors.

EXCELLENCE

Assist in preparing contracts for subcontractors and ensure all contractual details are accurate and compliant with company standards.

Enter project information, contract details, and other relevant data into the project management system.

Maintain accurate and up-to-date records of contracts and related documentation.

Organize and file contracts, amendments, change orders, and related documents for easy retrieval.

Work closely with contract administrators to ensure project information is properly tracked and managed within the system.

Collaborate with contract administrators and project managers to resolve contractual issues and ensure compliance.

Provide guidance and support to project teams on contractual matters and assist with any issues related to contracts.

Monitor and ensure subcontractor compliance with certified wage requirements on DOT projects, submitting reports in a timely manner.

Verify that subcontractor workers on DOT projects are paid appropriate prevailing wages as determined by the Davis-Bacon Act or state wage laws.

Ensure subcontractors have submitted required insurance certificates, monitor compliance, and send reminders when certificates are due for renewal. Conduct subcontractor insurance audits.

Review purchases and expenses of employees to ensure they are reasonable, necessary and compliant with company policies before approval.

Code invoices to the appropriate departments/jobs for approval.

Primary back up for receptionist, handling general administrative tasks such as answering phones, greeting customers, and providing information to callers or directing them to appropriate individuals.

Sort and distribute incoming and outgoing mail and handle transportation to and from the Post Office when needed.

Provide back up to the Job Cost Assistant when needed.

Provide support with final quantities by ensuring lien waivers are sent with subcontractor payments and final quantities are agreed upon before project completion.

Assist with organizing and tracking quotes for lettings, downloading plans, updating the bidder’s list and tracking letting results.

QUALIFICATIONS

Education and/or Experience

  • High School Diploma, GED, or international equivalent
  • Strong organizational and communication skills
  • Detail-oriented with ability to manages multiple tasks effectively
  • Good computer skills including Word, Excel, and Outlook
  • Ability to collaborate with various teams and stakeholders
  • Experience with administrative tasks such as phone handling, scheduling meetings and correspondence

Language Skills

  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small groups situations to customers, clients, and other employees of the organization.

Mathematical Skills

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.

Reasoning Ability

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.

 Computer Skills

  • Ability to perform basic computer skills which may be enhanced by further training. Excel, Word and Outlook programs experience preferred.
