Overview: As an Automotive Parts Administrator, you will play a vital role in managing parts inventory, processing invoices, handling returns, and maintaining organized records within our WickedFile system. This position is ideal for a detail-oriented professional who thrives in both independent and collaborative environments. You will work closely with accounting and service teams to ensure accurate parts tracking, efficient invoicing, and seamless parts returns processing. This role offers the flexibility of hybrid or in-person work arrangements for the right candidate located in the following areas: Albuquerque, Santa Fe or Las Cruces, New Mexico, Yuma or Tucson, Arizona, or El Paso, Texas.

Compensation: $15 - $20 per hour
Schedule: Monday to Friday
Reports To: Deputy CFO
Essential Roles and Responsibilities:
- Parts Management: Track and manage parts ordered, installed, and returned using the WickedFile system, ensuring accurate records and timely updates.
- Invoice Processing: Process and reconcile invoices for parts orders, ensuring compliance with company policies.
- Returns Handling: Coordinate parts returns, resolve discrepancies, and monitor outstanding returns to ensure timely processing.
- Data Entry and Recordkeeping: Maintain detailed and organized records of parts inventory, transactions, and vendor communications.
- Vendor Coordination: Communicate with vendors to confirm order details, resolve issues, and track shipments.
- Documentation Management: Scan and file digital records within the WickedFile system to ensure easy accessibility and compliance.
- Audit Support: Assist with internal audits by providing detailed inventory and transaction records.
- Cross-Department Collaboration: Work with accounting and service teams to streamline workflows and improve inventory processes.
Qualifications:
- 2 - 3 years previous experience in an administrative or bookkeeping role, preferably in an automotive or parts-related environment.
- Proficiency in inventory, parts, and/or auto repair management systems and data entry; experience with the WickedFile system is a plus.
- Excellent organizational skills and attention to detail.
- Strong communication skills and ability to work effectively in a team environment.
- Highly adaptable, with a strong ability to quickly learn new technologies and software.
- Proficiency with Google Suite (Gmail, Drive, Docs, Sheets) and digital filing systems.
- Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities.
