Manhattan Youth is looking for an Onboarding and Compliance Assistant to join its Team. This is a full-time hourly position.
The Onboarding and Compliance Assistant plays a critical role in ensuring new hires and current employees maintain eligibility to work at Manhattan Youth sites. Under the supervision of the Onboarding and Compliance Manager, the Assistant coordinates our extensive new hire onboarding process and ensures all Manhattan Youth employees remain compliant with government-mandated regulations. This position requires the ability to learn new systems, develop collaborative relationships and track large quantities of information. The Onboarding and Compliance Assistant is expected to create a supportive and helpful environment for all employees. Qualified candidates will be organized, detail-oriented, personable, responsive, and self-motivated.
Key Responsibilities
- Onboard new hires via Pinpoint (ATS), following up on outstanding documents and maintaining clear communication to ensure timely and accurate completion of all processes
- Collect, process, and verify new hire documents (applications, certifications, fingerprints, payroll forms, etc.), maintaining compliance with various regulatory requirements
- Address staff inquiries and escalate complex issues as needed
- Ensure staff paperwork and certifications are accurate and up-to-date
- Use various external agency portals, including FAMS, PETS, and CityMD, to maintain accurate records and track clearance statuses, ensuring compliance with required regulations.
- Communicate statuses of onboarding and current staff with supervisors and follow up on clearance delays with relevant parties
- Support seamless transition between onboarding, payroll, and recruitment team
- Prepare or maintain employment records for the employee life cycle
- Act as first point-of-contact between onboarding team and various internal and external stakeholder
- Design and manage HR forms through Adobe Sign, as needed
- Organize, file and track documents in digital platforms (email, Excel, SharePoint, FAMS), maintaining accuracy and accessibility
- Performs other administrative duties as assigned
Skills, Knowledge and Expertise
- Exceptional attention to detail and organizational skills, with ability to juggle multiple tasks
- Excellent computer skills, including Excel, and ability to quickly learn new platforms
- Experience with high-volume data entry highly preferred
- Fast learner with ability to identify and solve problems
- Ability to work independently and collaborate effectively with a team
- Strong customer service skills and experience in handling inquiries and complaints from various stakeholders
- Excellent written and verbal communication skills
- Familiarity with state and city background check/fingerprinting processes and related databases a plus
- Minimal physical effort required
- Frequent kneeling, crouching, sitting, reaching, talking, and hearing
- Occasional standing and lifting up to 20 lbs.
- Bachelor's degree or equivalent experience
- 1 years Human Resources, Compliance and/or Onboarding, experience completing reference checks a plus
