Job Title: Junior High/ High School School Secretary
Reports To: Principal
Work Schedule: 205 day schedule
Start Date: April 7th, 2025
Position Summary:The High School Secretary plays a vital role in the daily operations of the school by providing administrative support to the principal, staff, students, and parents. This position requires excellent organizational skills, strong communication abilities, and the ability to multitask in a fast-paced school environment.
Essential Duties & Responsibilities:
Administrative Support
- Serve as the primary point of contact for the school office, greeting visitors and responding to inquiries
- Prepare, format, and distribute correspondence, reports, and other official documents
- Maintain accurate and organized student and staff records, ensuring confidentiality
- Complete required State reports
Student & Parent Support
- Assist with student attendance tracking, including processing absences and tardies
- Maintain student enrollment, withdrawal, and registration records
- Provide parents with information regarding school policies, procedures, and upcoming events
- Distribute report cards, progress reports, and other student-related documentation as needed
- Assist with student health needs when the school Nurse is not available
Financial & Office Management
- Process purchase orders
- Collect and record fees for various school programs, including student activities and transcripts
- Order and manage office supplies, ensuring the school office operates efficiently
Communication & Coordination
- Serve as a liaison between administration, teachers, students, parents, and district personnel
- Coordinate substitute teacher assignments and ensure proper classroom coverage
- Assist in managing school safety procedures, including emergency drills and visitor protocols
- Other duties as assigned
- Support staff with clerical needs, such as copying, filing, and data entry
- Assist in coordinating graduation, prom, Homecoming, Senior Awards Night and other major school events
- Perform other tasks as needed to ensure smooth daily operations of the school
Qualifications
Qualifications & Skills:
- High school diploma or equivalent (Associate's degree preferred)
- Computer proficiency and knowledge (Infinite Campus experience would be a plus)
- Strong interpersonal and communication skills, with the ability to interact professionally with students, staff, and parents
- Excellent organizational and multitasking abilities, with strong attention to detail
- Ability to handle confidential information with discretion.

- Ability to sit, stand, and use a computer for extended periods
- Light lifting (up to 25 lbs) may be required
- Work is performed in an office setting within a school environment
