What are the responsibilities and job description for the Staffing Coordinator position at Maplewood Rehabilitation & Nursing Center?
Purpose of Your Position:
- The primary purpose of your job position is to assure that the Facility is in compliance with all aspects of the Labor Management process. This position specifically assures that hours of care per patient day are at the appropriate budgeted level, that each vacant shift is filled by the least costly employee available and that agency utilization and overtime are kept at an absolute minimum.
- As the Staffing Coordinator, you are responsible for and accountable to carry out your assigned duties and you will report directly to the Director of Nursing.

The position includes any other duties deemed appropriate and assigned by your supervisor and/or the Administrator.
- Works throughout the nursing service area (nurses stations, resident rooms, etc) and offices
- Sits, stands, bends, lifts and moves intermittently during working hours
- Is subject to frequent interruptions
- Is involved with residents, personnel, visitors under all conditions and circumstances
- Is subject to hostile and emotionally upset residents, family members and visitors
- Communicates with nursing staff and other department supervisors
- Works beyond normal working hours and on weekend and holidays when necessary. Scheduled hours may change to meet facility needs
- Attends and participates in continuing educational programs
- Is subject to falls, burns from equipment, odors, exposure to chemicals, etc, throughout the workday
- Is subject to exposure to infectious waste, diseases and conditions
- Must have a high school diploma or equivalent
- General work experience in a hospital, long term care facility, or other related health care facility is preferred, but not required
- Must be able to read, write, speak and understand the English language
- Must possess the ability to make independent decisions when circumstances warrant such action
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors and the general public
- Must possess the ability and the willingness to work harmoniously with profession and nonprofessional personnel
- Must have patience, tact, a cheerful disposition and enthusiasm, as well as the willingness to handle difficult residents
- Must be willing to seek out new methods and principles and be willing to incorporate them into existing nursing practices
- Must be able to communicate effectively to appropriate personnel regarding emergency situations
- Must be able to move intermittently throughout the workday
- Must be able to speak and write the English language in an understandable manner
- Must be able to cope with the mental and emotional stress of the position
- Must be able to see and hear or use prosthetics that will enable these senses function adequately to assure that the requirements of this position can be fully met
- Must functions independently, and have flexibility, personal integrity and the ability to work effectively with residents, personnel and support agencies
- Must be in good general health
- Must be able to relate to work with the well, disabled, elderly, emotionally upset and at times hostile people within the facility
- Must be able to push, pull and do heavy lifting without restriction
- Must be able to assist in the evaluation of residents in emergency situations
- Reconciles schedules to ensure changes are documented on the final schedule, including call outs, vacations, split shifts, leaving early, etc
- Monitor staffing schedule to ensure proper nursing coverage for all nursing shifts and units, including updating the schedule with call outs and alerting the DNS of potential staffing issues
- Replace nursing call outs, time off requests, etc and communicate changes to the DNS. Ensure schedules have been updated with the above changes and distribute to the units, DNS and supervisor's binder
- Updates nursing schedule and posts sign-up sheets for open shifts for Nurses and C.N.A.'s
- Identify open positions and update job postings as appropriate with changes
- Assures time off request shifts have been filled and maintains and updates time off request binder
- Maintains a master schedule and a holiday schedule
- Reconcile agency invoices with payroll
- Works with per diem staff to ensure schedules are completed on a calendar one month in advance and maintain in the Pick-Up Shift binder
- Maintain Pick-Up Shift binder for staff picking up additional shifts, in addition to the per diem staff
- Works with new hires to develop individual schedules
- Work with Staff Development Coordinator and the DN with new employee orientation and mentorship program on an as needed basis
- Participates in required orientation and training programs
- Participates, as requested, in quality assurance and process improvement activities, Labor Management meetings, etc
- Assists in establishing the Facility as an "Employee of Choice" by developing strong rapport with nursing staff members
- Performs other task or duties as requested
