Front Desk Representative
Job Summary
The Front Desk Representative performs various functions, including answering a multi-line telephone system and receiving visitors, customers, and prospects in a timely, pleasant, and professional manner, as well as providing information and support to other departments as required including final invoicing and payment collection for all service and parts transactions.
Supervisor
The Front Desk Representative reports to the Service Staff Manager
Duties
- Greet customers and welcome them to the dealership
- Operate a multi-line system to answer calls, transfer calls, provide information, and take messages as needed
- Direct visitors to the appropriate person and office
- Provide customer service support to the sales and service department
- Assist management with various administrative tasks
- Ascertain and record totals of sales deposits
- Verify against all cash, checks, and credit card payments on hand at end of shift and communicate any discrepancies in the totals to the appropriate unit
- Maintain confidentiality of customer and company information at all times
- Process service and parts transactions (Cash, Check, Credit/Debit Card)
- Answer customer questions about products or services
- Reconcile cash drawers and sales receipts
Skills & Knowledge

- Must present a professional appearance and demeanor at all times
- Must be willing and able to work various schedules
- Ability to work under limited supervision
- Must have intermediate computer skills in Microsoft Word, Outlook, and Excel and strong keyboard skills
- Basic math skills required
- Ability to calculate sales and change quickly
- Knowledge of point-of-sale systems
- Ability to manage and complete designated tasks in a timely manner
Experience
Previous administrative, receptionist, or cashiering experience
