Position OverviewMara’s Lighthouse Counseling Center is seeking a compassionate, detail-oriented, and accountable Care Coordinator to join our dynamic team. The Care Coordinator will be a key part of our front-line support, ensuring seamless intake processes, client scheduling, and assisting with operational tasks. This role will involve working closely with our CEO, Office Manager, and our clinical team to manage client intake, verify insurance, facilitate smooth scheduling, and ensure an outstanding client experience. As our new clients often reach out during times of immediate need, the role of the Care Coordinator is critical in ensuring they receive timely, compassionate care. A detail-oriented, highly accountable, and efficient candidate will play a vital part in ensuring that clients are seen and supported without delay.
Key Responsibilities
- Client Intake & Scheduling: Conduct consultations with potential new clients, respond to inquiries, gather necessary clinical and demographic data, and ensure timely scheduling of clients. Create patient profiles, collect payments/deposits, and track patient onboarding through completion of their first session.
- Insurance Verification: Collect insurance information, submit to billing team for verification and/or manually verify clients as needed, and then translate insurance verification information back to clients and collect accurate payments for the initial session.
- Form Completion & Reminders: Ensure intake forms are completed prior to appointments, send reminders, and follow up via phone if needed.
- Administrative Support: Provide general administrative support to ensure smooth office operations, including assisting with marketing and event coordination, creating reports, and other tasks as necessary.
- Care Coordination and Communication: Provide timely communication with clients, providers, office staff, and insurance companies, ensuring that all parties are informed and coordinated as needed.
Qualifications & Skills
- Experience: At least one year of administrative experience, ideally in a healthcare or mental health setting.
- Technical Skills:
- Proficiency in verifying and interpreting insurance benefits to calculate client’s financial responsibility
- Proficient with Electronic Health Records (EHR) and Microsoft Office programs.
- Communication: Strong telephone communication skills, particularly when interacting with individuals who may have mental health conditions.
- Organizational Skills: Ability to manage multiple tasks simultaneously and maintain an organized workflow.
- Attention to Detail: Accuracy in scheduling, insurance verification, and client communications is essential.
- Preferred: Knowledge of cognitive behavioral therapy, mindfulness, hypnotherapy, and solution-focused treatment is a plus.

- Thursday: 10:00 AM - 4:00 PM
- Friday: 10:00 AM - 4:00 PM
