We are seeking a professional and friendly Receptionist for our New York office to serve as the welcoming face of our firm. This on-site role requires a presence 5 days per week and involves managing front desk responsibilities, providing basic administrative support, and ensuring the smooth operation of conference room scheduling and activities.
Responsibilities
- Welcome and greet clients, employees, candidates, and visitors with professionalism and warmth.
- Direct visitors to conference rooms, offer beverages, and ensure a positive experience.
- Set up conference rooms before meetings and ensure they are straightened up and ready for use afterward.
- Perform administrative tasks, including scheduling meetings, inviting attendees via Microsoft Outlook, and adding Zoom links as needed.
- Manage multiple tasks efficiently, including checking room availability and moving attendees to alternate meeting rooms when necessary.
- Assist with facilities-related tasks such as greeting vendors, unpacking supplies, and helping out in the kitchen area.
- Provide support with ad hoc requests as needed to ensure smooth office operations.
Qualifications
- Proven experience in a receptionist, administrative, or service support role.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and familiarity with Zoom or similar tools.
- Strong organizational skills and ability to multitask effectively in a fast-paced environment.
- Excellent verbal and written communication skills with a professional demeanor.
- Ability to anticipate needs, solve problems, and handle unexpected challenges calmly.
- Friendly and approachable personality with strong interpersonal skills.
- Flexibility to adapt to new tasks and responsibilities as required.
The salary range for this role is $60,000-75,000 in base pay and exclusive of any bonuses or benefits. Base pay offered will be determined based on your experience, location, skills, training, certifications, and education, and in addition we will also consider internal equity and market data. We do not anticipate that candidates hired will begin at the top of the range however, from time to time, it may occur on a case-by-case basis.
