Summary
Under the general direction of the Finance Specialist and Head Start Director, is responsible for assisting with the day-to-day operations in our finance department of our Head Start Preschool as well as processing child applications and meeting with families to verify eligibility for our program.
Duties
- Comply with federal, state, and agency policies, procedures, and regulations.
- Code AP (Accounts Payable) documents according to company procedures.
- Collect and verify hours on time sheets for payroll, including clarifying discrepancies and updating PTO balances.
- Accept applications, request needed information from families, meet with families to verify eligibility to our program and work with Director to maintain full enrollment in our preschool.
- Perform general office duties, such as filing, answering telephones, handling routine correspondence, and face-to-face encounters with families, staff, and / or vendors.
- Receive and record cash, checks, and vouchers. Prepare bank deposits as needed.
- Match order forms with invoices, and record the necessary information..
- Maintain inventory records.
- Assist with Non-federal share (aka : In-kind) reporting (non-federal share consists of donations of time, items, or money to our agency required to fulfill our grant requirements).
- Compiling information and reports for CACFP (Child and Adult Care Food Program) reporting. Making sure to summarize month end reports for the Directors' quarterly report.
- Double check teachers attendance sheets weekly making sure the numbers on their attendance match the numbers and times in our Child Plus data system.
- Assist with maintenance of office records and files while maintaining confidentiality of staff and student information.

This a full-time hourly position of about 40 hours per week. PTO (Personal / Sick / Vacation time) accrued and available upon completion of 90-day probationary period.
