What are the responsibilities and job description for the Financial Onboarding Specialist position at Marathon Group Financial?

Job Overview:

This position is on-site in Murrieta and will manage the setup of new accounts and the seamless transfer of assets, accounts, and funds for our clients. This role ensures timely and accurate processing of transfer requests while maintaining compliance with regulatory standards and providing exceptional service to clients and advisors. The ideal candidate has experience in financial services operations, a strong understanding of account transfers, and excellent organizational and problem-solving skills.

Key Responsibilities:

Account Transfer Processing:

  • Facilitate and process account transfers, including ACATS (Automated Customer Account Transfers), non-ACATS, and checks.
  • Review and verify transfer requests, forms, and documentation for accuracy and completeness.
  • Communicate with financial institutions & brokers to track and expedite transfers.
  • Ensure all transfers are processed in compliance with industry regulations and company policies.

Client and Advisor Support:

  • Serve as the primary point of contact for clients and advisors regarding transfer inquiries and updates.
  • Provide status updates on transfer requests and resolve any issues or delays promptly.
  • Collaborate with the client services team to address concerns and deliver exceptional client experiences.

Operations & Compliance:

  • Maintain accurate and detailed records of transfer activity, ensuring proper documentation in RedTail (RT) and spreadsheets used by the transfer department.
  • Provide required data and reporting when requested.
  • Maintain accurate & up-to-date client records and information in RedTail (RT) CRM. ALL client interactions, requests and service done should be noted in RT.
  • Establish strategies to minimize errors and delays.

· Ensure compliance with company policies and regulatory requirements by managing proper documentation and processes.

  • Continuously review and optimize processes and workflows to improve accuracy, efficiency, and client satisfaction.
  • Track and analyze performance metrics to measure effectiveness and identify opportunities for improvement.
  • Prepare and deliver reports to executive leadership, highlighting progress, challenges, and strategic recommendations.

Qualifications:

Education:

  • Bachelor’s degree in Finance, Business Administration, or a related field (preferred).

Experience:

  • 2–3 years of experience in financial services operations or account transfers.
  • Experience with ACATS, account transfers, and other financial processing systems is highly preferred.

Skills:

  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite and CRM platforms.
  • Ability to manage multiple tasks and deadlines effectively.
  • Excellent communication and interpersonal skills for client and vendor interactions.
  • Knowledge of FINRA regulations and SEC compliance standards (preferred).

Preferred Qualifications:

  • Familiarity with custodial platforms such as Schwab.
  • Experience in client onboarding or financial operations support.
  • Certification such as insurance license, Series 65, or willingness to obtain licensing.
